Our areas of expertise includes reclamation, remediation and natural sciences, with a specialty in upstream oil and gas work conducting reclamation projects on contaminated sites in Northeast BC.The primary function of the Administrative Assistant is to provide comprehensive administrative support to the local office, and the company as a whole. You will assist with managing phone lines, office supplies, preparation of various reports and general administrative duties. This position makes a significant contribution to the productivity of field personnel and requires excellent organization skills and the ability to multitask and prioritize. You will deliver excellent internal services to a multidisciplinary team as part of the Administrative Team. This position reports to the COO, and mentored by the HR Lead.This role works full time in the Fort St. John office, and has to be physically in the office from Monday to Friday during office hours.*Your Key Responsibilities*- Provide professional phone services including answering general inquiries and assisting to coordinate communications in support of operations.- Display professional and welcoming behaviour to clients and staff communicating with our offices.- Maintain levels of office supplies and ensure that staff has access to the materials needed for their work.- Assist in the preparation of various reports and working with operations to meet deadlines.- Assist IT with tracking phones/laptops/computer accessories and related items.- Work with IT/HR to help with onboarding and offboarding tasks that require a physical presence in the office.- Fill, merge, organize, and eliminate backlog, where relevant.- Complete and track BC1 Calls, ensuring all parties respond, preparing field packages.- Back-up for the Weekly Scheduler Program in Excel, including preparation and updating; attend scheduling meetings on as needed basis, and ensuring data is always current.- Manage mail, couriers, office, cell phones.- Create field binders; Scan, upload, and organize field documents.- Providing assistance to the H&S department when needed.- Maintaining tidiness of the reception area, lunchroom, boardroom, and general office space.- Assist with organizing and executing company event.- Any other duties as required or assigned.*What You Offer SynergyAspen*- 3+ years of relevant experience, or a diploma/degree in administration with 1+ years of experience- Proficient in Microsoft Office Suite, specifically Outlook, Teams, Excel, and Word- Experience with Adobe Editor and/or Foxit Phantom PDF is an asset- Proactive attitude and willingness to try new things- Creative mindset when solving problems- Strong level of professionalism- Exceptional accuracy and attention to detail- Excellent communication, listening and interpersonal skills- Excellent organization skills and ability to multi-task in a deadline driven environment- Enjoys a challenge and able to work well under pressure- Experience with BC One Call and with PDF editing software is an asset*What SynergyAspen Offers You*- An opportunity to expand your expertise, and work for a company with integrity of purpose- Competitive compensation and comprehensive extended health benefits- Eligibility for educational and professional membership dues reimbursements- Eligibility for profit sharing- External and internal training budget- Flexible work schedules and banked time- Business-casual dress code- Pet friendly officesWe thank all interested applicants for their interest, but only shortlisted candidates will be contacted.
