Are you a driven professional looking for an opportunity to learn and grow with a dynamic and passionate teamFirst Nations Summit is looking for a Treaty Department Administrative Assistant to join our growing team!ABOUT FIRST NATIONS SUMMITThe First Nations Summit (FNS) is a provincial First Nations organization committed to advancing discussions with the governments of Canada and BC to support First Nations in conducting their own direct treaty negotiations. The FNS provides a forum for First Nations in BC to address issues related to Treaty negotiations, First Nations Title and Rights issues, as well as other issues of common concern.Our work involves taking a leadership and advocacy role on a full range of issues affecting First Nations, including negotiations and implementation of treaties, agreements, and other constructive arrangements, as well as day-to-day social and economic issues.At the FNS, we offer a dynamic work environment, opportunities for professional development, and a chance to make a meaningful impact in the lives of First Nations citizens and communities. A DAY IN THE LIFE
  • Take the lead in all things admin including preparing reports, responding to requests and inquiries, overseeing calendars and deadlines, and formatting and proofreading documents.
  • Establish and maintain efficient paper and electronic filing systems, ensuring accessibility and organization.
  • Stay at the forefront of negotiations by maintaining up-to-date information on negotiation statuses for each treaty table in the BC treaty negotiations framework.
  • Curate and manage email distribution lists for dynamic working groups and bodies supported by the treaty department.
  • Take charge of coordinating meetings, both virtual and in-person, handling logistics, scheduling, and preparation of meeting materials.
  • Capture the essence of discussions hosted by the treaty department by taking detailed meeting notes and providing comprehensive summaries.
  • Manage invoices from contractors, gather supporting documentation, and oversee internal approval processes.
  • Prepare funding proposals for research and meetings, aligning with the objectives set by senior FNS staff.
  • Provide essential support to the receptionist and dive into additional duties assigned by senior FNS staff, as required.
WHAT YOU BRING TO THE TABLE
  • At least 5 years of experience in an administrative role.
  • Advanced proficiency in Microsoft Office Suite, SharePoint, Dropbox, Doodle Poll and Adobe products.
  • Exceptional verbal and written communication skills with a keen eye for detail.
  • Strong event coordination skills with the ability to effectively book venues, arrange transportation, and manage accommodations, among other logistical aspects.
  • A willingness to learn as you go! Having an open mindset and being eager to learn would be greatly valued.
  • Excellent communication and interpersonal skills, with an upbeat personality and can-do attitude!
  • Flexible schedule as work may occasionally include evenings and weekends.
  • Ability to travel as required.
NICE TO HAVES
  • Understanding of bookkeeping with experience managing financial records and transactions.
  • Demonstrated proficiency in website development and design using WordPress.
