The administrative assistant role is to be supportive and reduces any barriers enabling optimization of the manager role.QUALIFICATIONS:

  • Completion of a 2-year post-secondary program in medical office administration
  • Medical terminology certificate
  • RMA billing authorized
  • 5-years related experience working within a busy Mental Health program, with demonstrated knowledge of the Mental Health Act and associated legal forms, admission and discharge procedures
  • Proficiency in accessing Electronic Medical Records
  • Demonstrated proficiency in scheduling and data entry
  • Certificates of completion for ongoing computer training
  • Advanced skill level in MSWord, MSAccess and MSExcel
  • Demonstrated ability to maintain excellent interpersonal relationships while handling multiple tasks, conflicting priorities and frequent interruptions
  • Demonstrated ability to communicate in a sensitive and non-judgmental manner with psychiatric patients
  • Demonstrated superior oral and written communication skills with demonstrated grammatical aptitude, excellent spelling and punctuation
  • Excellent organizational and problem-solving skills, with ability to set own priorities and work with minimal supervision while maintain a positive customer service attitude. Must be able to identify priorities and manage deadlines, identify, mitigate and communicate any barriers to the manager
RESPONSIBILITIES:
  • Supports effective communication and liaison between the Manager and all team members
  • Records meeting minutes and transcribes standard and/or form letters, reports and summaries
  • Handles phone calls and unscheduled visits, ensuring appropriate action according to the nature of the situation, initiating referrals and relaying messages as required
  • Ensures all office supplies, housekeeping and maintenance requests are requisitioned in a timely manner
  • Updates staff schedules, records staff attendance as per established guidelines and completes staff payroll sheets and overtime submissions for the Managers approval
  • Supports the activities of assigned committees or general meetings, by arranging booking schedules and/or attending meetings, taking and transcribing minutes and distributing notices/agendas and minutes accordingly
  • Provides support for various financial and budget responsibilities i.e. budget monitoring, purchase orders, petty cash, staff expenses, travel expense forms, etc.
  • Provides administrative coverage throughout the department and performs duties as assigned by Manager
  • Co-ordinates events sch as department education setting up location and agenda, participant enrollment and contacting guest speakers
  • All other duties as assigned
