Job Description

Manager, Advancement IT & SystemsTMG Position at McMaster UniversitySalary Band: TMG Band KSalary Range: $73,967.00 - $110,951.00 (annually)Department/Unit Description:University Advancement (UA) at McMaster University is an integrated department that encompasses the areas of Communications, Marketing and Public Affairs (CMPA), Development, Alumni Engagement, Stewardship, and Advancement Services & Operations, and works collaboratively with McMasters Faculties and units. These areas coordinate their activities and work as a team to build relationships, reputation and resources on behalf of the University.The Advancement Services & Operations (AS&O) team manages a variety of functions on behalf of UA: human resources, finance/budgeting, gift processing and biographical records, IT/data/analytics/systems and the Office of the Vice-President.This position is part of the AS&O team, under the IT/data/analytics/systems function, and helps to serve our broader UA stakeholders in these areas.Job Summary:Reporting to the Director, Advancement Services & Operations (or as delegated to the Associate Director), this individual is responsible for contributing to the development, enhancement and evaluation of IT infrastructure, software and systems within University Advancement (UA). This role will work closely with all of UAs various teams to ensure current and future IT needs are met. The Manager will assess and analyze tools to provide recommendations for system usage, security and reporting, establish end-user request intake and release management protocols, and establish and coordinate user training programs and materials.This position is responsible for making a positive commitment to UAs mission, vision, and our values: Integrity, Quality, Respect, Service, Strategy and Teamwork.Accountabilities:

  • Model a culture of collaboration, integration and service to support UAs (and the broader Universitys) core research and academic missions.
  • Act as subject matter expert for key advancement software/systems used across the full University Advancement team and provide programming, design and analysis services that support users of each. A key focus for the role is Ellucian Advance, which houses confidential data on the universitys alumni, friends, government touchpoints, and charitable contributions.
  • Work independently and in a team to design and develop programming as needed and assist in the planning, development, implementation, and maintenance of complex software and hardware products for UA.
  • Direct, supervise and hire UA IT and systems staff. Includes technical oversight of programming and business analysis activities.
  • Develop and implement reports for users that track key performance targets and measures.
  • Develop and implement appropriate release management protocols for programming enhancements and end-user requests, including QA and UAT testing protocols.
  • Support the Director and Associate Director with the development, implementation and evaluation of strategic initiatives and annual operating plans for the department.
  • Collaborate with various internal and external stakeholders, including: UAs senior management team and other leaders, University Technology Services (UTS), and external vendors.
  • Liaises with UTS as required on the process for importing and exporting data from/to other systems.
  • Assists in requirements analysis, selection, implementation and post-implementation review of software used within UA.
  • Review existing programming and prescribe changes to ensure stable processes for our end-users.
  • Develop project schedules, prioritize work and coordinate the efforts of server support, application developers, testers and others involved in infrastructure projects.
  • Serve as primary technical liaison with vendors, external service providers and UTS.
  • Work closely with UA to help determine teams needs to ensure appropriate software tools are identified and implemented to meet current and future needs. Includes supporting the Director and Associate Director in creating a collaborative forum within UA to effectively solicit and prioritize needs.
  • Assist in developing and maintaining a communications plan to ensure internal and external Systems group communications are effective.
  • Engage in available continuous improvement training and participate in existing communities of practice within the Universitys IT community.
  • Implement and monitor all IT and systems policies and procedures, ensuring data integrity and operating efficiency are maintained.
  • Establish and coordinate functional support for system users, including desktop support and training programs for UA-specific software and systems.
  • Coordinate data cleanup and other related activities by developing and refining reports as necessary.
  • Assist in administration of system security and network access, ensuring established standards and protocols are followed.
  • Coordinate with UTS and other groups regarding system upgrades and conversions.
  • Monitor ongoing, sector-related IT developments and opportunities in the field of advancement services and operations.
  • Maintain contact with post-secondary institutions and user groups linked to advancement systems, applications and best practices.
  • Support the establishment of goals and strategic plans for Advancement Services & Operations.
Qualifications:Education
  • Bachelors degree or equivalent experience in computer science, business, information systems or related disciplines
  • A McMaster University degree is an asset
Experience
  • 5 years of relevant experience
  • Demonstrated experience in:
    • Management of technology projects
    • Testing and debugging IT systems
    • Database programming (SQL Server), operating systems including UNIX/Linux and Windows
    • Writing IT programming specifications and documentation in accordance with published standards
    • Writing in one or more commonly used programming languages
    • Interacting effectively with users to perform system design and analysis
Knowledge/Skills
