Air Liquide is listed on the Euronext Paris stock exchange (compartment A) and belongs to the CAC 40, EURO STOXX 50 and FTSE4Good indexes.Entity and activity descriptionThe main function of the job is as a receptionist to the front office, greet and direct visitors, answer calls and redirect them to the appropriate persons, conduct administrative duties including loading requisitions and purchase orders, updating documentation and administrative assistance to managers & engineers.Missions and ResponsibilitiesGreet and communicate:

  • Answer internal and external calls promptly and cordially, forward calls or take messages while promoting a positive image of the company.
  • Respond, wherever possible, to requests from internal clients and inform them, if necessary, of ALC safety policies on the site and orient them accordingly.
  • Greet clients and visitors.
  • Keep the front office neat, tidy and organized.
Handle logistics on special projects:
  • Manage meeting room booking requests and modify the projectors calendar monthly.
  • Organize videoconferences.
  • Update the locations lists and telephone directories.
  • Participate in the accomplishment of specific mandates as part of a team.
  • Prepare the necessary documents for the arrival of new employees.
  • Coordinate logistics with suppliers and subcontractors if necessary (Oxford-coffee service-phone system).
Administrative duties:
  • Receive requests from employees for services, consumables or special requests
  • Load requisitions and purchase orders on the Oracle system
  • Follow up on orders and status thereof
  • Perform administrative duties on the Intelex system in conjunction with HSEQ
  • Update procedures on fixed intervals / frequencies
  • Ordering consumables for the offices, control rooms and workshops
  • Manage the inhouse office cleaners
  • Keep the contact details of all employees up to date
  • Keep up to date the information appearing on the Sourcing departments intranet site by regularly updating the data.
  • Forward e-mails received in the general ALC mailbox to the appropriate persons.
Ensure process improvement:
  • Work with the team and with internal clients to continuously improve work processes.
Quality / Safety:
  • Update safety protocols on instruction from relevant managers.
  • Actively participate in promoting ALC safety objectives.
  • Know and follow the procedures contained in the ALC Quality Handbook.
  • Ensure that adequate corrective and preventive measures are instituted in response to customer claims.
Competencies and ProfileExperience: 3 to 5 years experienceDiploma: High school diplomaTraining: n/aKnowledge: Aptitude for verbal and written communication, bilingualism essential, knowledge of MS office and navigating the Internet
