Labrador Campus, Memorial UniversityHappy Valley-Goose Bay, Labrador(Five-Year Contractual Position, Subject to Renewal)BACKGROUNDThe Labrador Campus is the newest campus of Memorial University, established in January 2022. Home to the School of Arctic and Subarctic Studies and the Pye Centre for Northern Boreal Food Systems, the Labrador Campus is a vibrant centre for Northern-focused, Northern-inspired, and Northern-led research, education, and community partnerships. As part of this exciting and historic transformation, the Labrador Campus is developing undergraduate, graduate, and post-graduate degrees, diplomas, certificates, and professional development learning opportunities, expanding our research activities, developing new infrastructure, and growing our team. This growth and development requires a key position to assist the Vice Provost and Dean of the Labrador Campus to move these important initiatives forward.DUTIESAs the senior administrative support to the Vice Provost (Labrador Campus) and Dean (School of Arctic and Subarctic Studies), the Executive Assistant will provide a high level of confidential and strategic executive support demonstrating strong judgment, diplomacy, confidentiality, and discretion in all aspects of the role. This position liaises extensively with various academic and administrative units throughout the Memorial University system, with multiple external partners, governments, organizations, agencies, and individuals, providing administrative, operational, and logistical assistance to the Vice Provost and Dean. The Executive Assistant prioritizes requests and action items, relaying urgent information and acts on the Vice Provost and Deans behalf when requested to do so and must be able to handle multiple projects and tasks simultaneously in a confident and professional manner.Job duties include (but are not limited to): screening, distributing, tracking, and answering incoming enquiries and correspondence for the Vice Provost and Dean; managing the Vice Provost and Deans schedule, calendar, and travel; drafting and editing sensitive correspondence and reports; assisting in the coordination of ad hoc activities and events, as required, and preparing or researching background information relevant to ongoing activities; organizing meetings, including maintaining meeting materials, acting as recording secretary, and organizing committee elections; supporting selected committees; providing assistance with the external relationships and engagement portfolio of the Dean; in consultation with the Senior Administrative Officer, supporting faculty management and ensuring adherence to collective agreement clauses, including the recruitment and appointment processes; preparing and managing assessment files for promotion and tenure consideration; maintaining confidential faculty files; advising on protocols related to sabbatical applications; supporting academic program growth and development; advising committees involved in the recruitment and tenure and promotion processes, in keeping with relevant collective agreements, as needed; and performing other related duties as required.QUALIFICATIONSThe successful candidate will have experience (minimum 5-7 years) in progressively responsible administrative work (experience providing executive senior administrative support would be an asset); completion of a two-year program in business or office administration supplemented with university-level coursework (university degree would be an asset); or any equivalent combination of experience and training. The ideal candidate will have experience interpreting and analyzing information and policy documents; the ability to exercise judgment in prioritizing work; and the ability to maintain a high level of confidentiality, professionalism, and decisiveness while working in a high-pressure environment with competing priorities and deadlines, and frequent interruptions. The successful candidate must be comfortable interacting with numerous stakeholders internal and external to the University and have the ability to effectively manage issues which have political or personal sensitivity and significant impact on academic careers. Well-developed communication, interpersonal, and conflict management skills are important. Extensive experience using Microsoft Office and Adobe Acrobat is required. Knowledge of Banner, OnBase, and other University systems; and knowledge of regulations of the undergraduate programs and School of Graduate Studies would be considered assets.SALARY $47,222 - $66,220 per annum (Non-Bargaining)Plus applicable Northern AllowanceCLOSING DATE August 2, 2022COMPETITION NO.
