Job Description

Connective is a dynamic non-profit organization that provides innovative programming in the social services sector. We strive to create safe, healthy, and inclusive communities for all.ROLE PURPOSEThis position will provide direct support to the head office team as well as being a customer-facing point of contact on behalf of our organization to our managers, employees, clients, partners, and stakeholders.REPORTING AND WORKING RELATIONSHIPS

  • Reports and is accountable to the Director of Health, Housing and Employment or their designate
  • Establish and maintain effective working relationships with team members, clients, partners and stakeholders
  • Function as a multi-disciplinary team member
  • Liaises with the staff and managers of Connective as necessary
KEY ACCOUNTABILITIES
  • Acts as reception for our head office, attending to incoming visitors and screening/routing calls appropriately
  • Overall organization of our head office including maintaining head office space to a high standard, handling incoming and outgoing mail and maintaining office and program supplies
  • Plans and supports meetings such as organizing travel, meeting space, meals, hotel bookings, distribution of meeting packages, and taking minutes
  • Assists with Programs’ petty cash
  • Provides support to organizational initiatives by working collaboratively with other departments like Programs, Housing, Employment, People and Culture and Finance.
  • Coordinates service delivery contracts with other organizations and consultants
  • Provides support with internal administration platforms
  • Ensures a timely and appropriate response or distribution to all property requests received by app, email, phone or in person
  • Arranges for and manages maintenance and repair services as needed, providing the necessary communication and updates with impacted staff, clients and tenants as well as all required documentation
  • Initiates, manages and organizes both digital and physical housing files
  • Research options and makes recommendations related to property, appliances, furniture, and service providers
  • Supply ordering and inventory control
  • Manages the tenant tracking documentation and other related data entry
  • Lead staff member related to key control
  • Assists in the collection of monthly rent from tenants and ensures that it is received and recorded
  • Assists with agency walkthroughs and inspections of properties and ensures documentation and distribution of actionable property related items to team members
  • Creation of tenant expectation notices
  • Perform other related duties as required
WORKING CONDITIONS
  • Function independently, while remaining a crucial member of the support team
  • Handle data with integrity and confidentiality
  • Maintain polite and professional communication via phone, email and mail
  • Adhere to Connective’s policies and procedures
QUALIFICATIONS
  • Significant and recent experience in providing administrative support
  • A relevant degree, diploma or certificate, or combination of applicable education and experience
  • At least two years of related/transferable experience
  • Strong skills with Microsoft Office, Zoom and other meeting and webinar platforms
  • Ability to manage time efficiently, high level of accuracy, and attention to detail
  • Ability to establish and maintain effective and professional working relationships with team members, clients, partners and stakeholders
  • Strong communication skills (listening, verbal and written)
  • Demonstrated commitment to a high level of customer service
  • Preference for candidates with their own vehicle and knowledge of non-profit work environments, including working with individuals with developmental disabilities, those with mental health or substance misuse or those who have come in conflict with the law
REQUIREMENTS
  • Working knowledge of office equipment (printers and fax machines)
  • Proficient in MS Office, Windows, and excellent typing skills
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational skills with the ability to multi-task
  • Ability to successfully complete Criminal Records Checks
  • Class 5 driver’s license
  • Personal transportation that is in good repair, insured for business up to $5,000,000 for liability, and which must be accessible when on shift
