Job Description

EXECUTIVE ASSISTANTThe Context: The Forest Enhancement Society of BC supports innovative forestry projects that reduce greenhouse gases, protect communities from wildfire, improve wildlife habitat, and create jobs for British Columbians. Your background includes assisting senior management, performing general office functions, and processing accounts payable. You have a willingness to learn. You also have a high- level of verbal and writing ability.The Hours and Wages: Part-time permanent position (21 hours per week, flexible work schedules are possible). Wage is $29.00 to $33.00 per hour.The Responsibilities: Reporting to the senior manager, or designate, the Executive Assistant is responsible for a broad range of administrative, executive support, accounting, and communications functions. Duties include:Executive Support:- Coordinate scheduling of board meetings and related booking arrangements- Compile and distribute board meeting agendas and related documentation- Record, transcribe and distribute board meeting minutes- Record minutes of staff or other meetings as directed- Assistant to the Management Team with a focus on Operations- Perform administrative duties such as word processing, maintaining filing andrecord systems, emailing and photocopying.Office Administration:- Ensure all files are organized and maintained.- Maintain and order office supplies.- Process outgoing mail.- Liaise with landlord and janitorial service provider.- Respond to telephone, in person or electronic enquiries or forward to appropriateperson.- Provide general information to stakeholders, and to the general public.- Provide support to communications functions, including editing reports andwebsite updates.Other:- Accounts Payable- Carbon Neutral Reporting- Coordination and distribution of FireSmart Materials- Arrange vehicle maintenance and repairs- Other duties as requiredQualifications Requirements:- Grade 12 or equivalent minimum- Certificate or equivalent in office procedures would be an asset.- Experience in an administrative assistant role is required.Desired Competencies:- Service and detailed oriented, with a personal commitment to accuracy andefficiency.- Ability to work independently as well as within a team environment to produceaccurate, high- quality results.- Strong written and verbal communication orientation.- Proven ability to prioritize and manage workflow to meet deadlines.Knowledge and Skills:- Proficient in Microsoft Outlook, Word, and Excel.- Experience with Website content management is an asset.- Excellent alpha/numeric keyboarding skills.- Understanding of accounting fundamentals is an asset.- Bookkeeping and payroll processing experience is an asset.- Experience with Sage 50 and Payworks programs are assets.The Application Process:Email a detailed resume and cover letter explaining your interest in and suitability to the position to: [email protected]Interviews to commence in late April and/or early May and expected start date is mid May 2023.For more information about FESBC, please visit fesbc.ca.
