Job Description

Reporting to the General Manager, Operations & Mechanical, the Office Administrator is an integral team member of the Rocky Mountaineer System Operations & Mechanical team. The Office Administrator will be responsible for providing administrative support to the office. Building internal and external partner relationships are essential, as this role is the first point of contact representing the Rocky Mountaineer office.As a Rocky Mountaineer team member, you will be working alongside a diverse group of people who are committed to working together, supporting our values, and ensuring we are always on brand as a world class luxury rail tour company.This position is deemed Safety Sensitive and pre-employment testing will be required. Final candidates must successfully pass a safety critical medical exam and will undergo medical monitoring as prescribed by Transport Canada. This position requires you to periodically access an active railway area where impaired performance could result in a significant incident affecting the health and safety of team members, guests, the public, property or the environment.Key Areas of AccountabilityCompletes a broad variety of administrative tasks for the General Manager and team including managing active calendar of appointments, expense reports, composing and preparing correspondence which may be confidential in nature, arranging detailed travel plans, itineraries, and compiling documents for travel-related meetingsAssist with various projects and a variety of reports and presentationsSuccessfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the leaderships ability to effectively lead the departmentPrioritizes conflicting needs, handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressuresPlanning, coordinating, delivering and evaluating stages of all events to ensure quality customer service to customers and clientsMaintains accurate financial cost centers to support the allocation of operating and capital budgetsManage front desk, office supplies and contract management for the officeResponsible for data information management including collecting and entering data integrityCollaborate with HR Business Partner to support team engagement initiatives, onboarding, and general HR functionsMaintain strong relationships with internal and external partnershipsOther duties as assignedSafetyManages Security Access Card program to ensure complianceSupports safety and security process, data collection and compliance reporting requirements internally and externallyMaintain basic first aid level provided by Rocky MountaineerOperationsSupport the successful execution of the Operating PlanSupport operational targets and metricsParticipate in Emergency Operations Centre (EOC) scribe functions when requiredMechanicalSupport mechanical team members with general office functionsProduce presentations using mechanical data when requiredDemonstrate effective use of mechanical and inventory softwareQualificationsEducation, Certification, LicensesPossess a Bachelor of Arts, Bachelor of Business Administration or an undergraduate degree in related fields is an asset2+ years' experience/education in supporting senior leadership and administration duties.Experience/SkillsStrong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, and external partners.Demonstrated proactive approaches to problem-solving with strong decision-making capability.Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.Forward looking thinker, who actively seeks opportunities and proposes solutions.Strong knowledge of MS Office, Outlook & SharePointUnderstanding of Accounting is an assetExceptional time management with the ability to prioritize and analyze.Change Management experience/training considered an asset.Possess a positive mindset and collaborative approach to developing relationships.Strong organizational skills with a strong attention to detail is essential.Work EnvironmentAbility to sit/stand for periods of time in industrial office setting24/7 operation that may require varied work schedules from time to timeMay require occasional travel
