Job Description

We strive to create safe, healthy, and inclusive communities for all.ROLE PURPOSEThe Property Manager Assistant plays an integral part in the support provided to the agency’s various team members. Based out of the agency’s head office, the Property Manager Assistant is the primary staff member who responds to various housing related inquiries, handles general walk ins, deliveries and general administrative duties that support the day-to-day operations within the office. This role provides the enhanced administrative support to the housing team and all activities related to property and maintenance housing services.STATUSExempt / This position is open to applicants of all genders.HOURS40 hours per weekREPORTING AND WORKING RELATIONSHIPS

  • Reports and is accountable to Director of Health, Housing & Employment
  • Establish and maintain effective working relationships with team members, clients, partners and stakeholders
  • Function as a multi-disciplinary team member
  • Liaises with the staff and managers of Connective as necessary
KEY ACCOUNTABILITIES
  • Ensures a timely and appropriate response or distribution to all property requests received by app, email, phone or in person
  • Arranges for and manages maintenance and repair services as needed, providing the necessary communication and updates with impacted staff, clients and tenants as well as all required documentation
  • Initiates, manages and organizes both digital and physical housing files
  • Researches options and makes recommendations related to property, appliances, furniture, and service providers
  • Arranges for and manages appropriate property IT and hardware
  • First point of contact, and lead trainer for, the agency’s maintenance app
  • Supply ordering and inventory control
  • Manages the tenant tracking documentation and other related data entry
  • Maintains Policies and Procedures related to the housing division
  • Lead staff member related to key control
  • Assists in the collection of monthly rent from tenants and ensures that it is received and recorded
  • Ensures documentation and distribution of actionable property related items to team members
  • Creation of all tenant expectation notices
  • Perform other related duties as required

  • Maintain polite and professional communication via phone, email and mail

EXPERIENCE AND SKILLSWe are seeking a highly motivated individual with a proven ability to work within a fast-paced, growth-focused environment. The ideal candidate has:
  • A relevant degree, diploma or certificate, or combination of applicable education and experience
  • Three years of recent experience with the coordination and administration related to building and property maintenance
  • Demonstrated commitment to a high level of customer service
  • High proficiency in using apps and software related to housing, tenants, and maintenance
  • High proficiency with the Microsoft Office suite, specifically Excel
  • Preference for candidates with their own vehicle and knowledge of non-profit work environments, including working with individuals with developmental disabilities, those with mental health or substance misuse or those who have come in conflict with the law
REQUIREMENTS
  • Ability to successfully complete Criminal Records Checks
  • Class 5 driver’s license
  • Personal transportation that is in good repair, insured for business up to $5,000,000 for liability, and which must be accessible when on shift
  • Must be able to prove vaccine status against Covid-19 or medical exemption
