A rewarding career with Okanagan Public Schools is within your reach – we want to hear from you!POSITION SUMMARY: Maintain responsibility for the operation of a school office including supervising staff, maintaining databases, and performing financial, administrative and clerical duties.DUTIES & RESPONSIBILITIES :Administrative Clericalprepare a variety of materials including correspondence, reports, minutes, purchase orders, forms, newsletters (using a variety of computer programs);research suppliers, obtain prices, prepare requisitions and purchase orders, receive and verify invoices and the delivery of goods;maintain and monitor the school supplies and equipment inventories;phone for replacements for staff absences and maintain documentation;maintain a variety of files and records;assist in minor first aid and advise parent of injury or illness;co-ordinate the work of student or parent volunteers within the office.Computerized Administrationmaintain computerized databases;provide reports required by school district operations and Ministry of Education;build/develop templates to construct reports;maintain the computer program by providing program back-up, data base reorganization, installing new program updates, updating manuals, and monitoring all database activities;advise parent of absence.Bookkeeping/Accountingmonitor school/district accounts for accuracy and variances;maintain records of all school financial transactions;prepare bank reconciliation;maintain and reconcile petty cash fund;receive and receipt monies and prepare bank deposits.Communicationreceive, screen, and direct phone calls and mail;communicate with staff, students and respond to inquiries and provide general information.QUALIFICATIONS:successful completion of Grade 12;six (6) months secretarial training (Office Administration Program) at a Community College;three (3) years previous related secretarial experience;successful completion of the District clerical exam;knowledge and experience with bookkeeping, including successful completion of District bookkeeping exam;proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook, SharePoint)a minimum typing speed of 50 net wpm;prior experience with MyEd BC Level 1, 2, 3 is an asset;maintain a high quality of work including accuracy and dependability;possess excellent organizational, communication and interpersonal skills.APPLY ONLINE: Qualified candidates are invited to apply with cover letter and resume, three (3) professional references, copy of any post-secondary certification and transcripts, copy of grade 12 transcripts (or diploma) and copy of certified supervised typing test (50 net wpm).It is acknowledged that Central Okanagan Public Schools operates within the traditional unceded territory of the Okanagan Syilx peoples.Quick Apply
