Job Description

Position InformationPosition Number S00509Position Title Payroll CoordinatorDivision/Portfolio Financial ServicesDepartment/Program Finance DepartmentLocation KelownaOther Flexible Work Options Eligible for Hybrid WorkYour OpportunityUnder the direction of the Manager, Payroll & Accounts Payable, and as a member of the Financial Services team, the Payroll Coordinator – Payroll provides accounting and financial services that support the overall institutional data preparation, collection and analysis in the areas of payroll processing, payroll audit, variance analysis, budgeting, year-end projection and year-end audit schedules; will complete and remit financial reports to various internal departments and external agencies based on strict deadlines. The Payroll Coordinator maintains the integrity of the accounting records and interprets and applies Generally Accepted Accounting Principles, College Policies and department guidelines to process the appropriate accounting transactions for a variety of financial activities. Performs other duties as required.Functions and Duties1. Coordinate bi weekly payroll process to ensure compliance and deadlines are met.2. Compile, analyze, evaluate, audit and interpret financial data and information; identify trends and anomalies and takes corrective action or makes recommendations for changes and improvement.3. Review, investigate and audit transactions in accordance with Okanagan College’s policies and procedures, provide recommendations, resolve any discrepancies and complete any adjustments to ensure completeness and accuracy.4. Prepare various internal management and external reports.5. Develop project plans for assigned projects, investigate, provide financial analysis, documentation and data support, recommend solutions, and implement projects in accordance with Okanagan College’s policies and procedures.6. Maintain ongoing accounting files and records for operational activities and special projects.7. Develop, design and maintain information databases as needed.8. Assists in responding to requests for budget information by ensuring the timely dissemination of accurate data, information and analysis for internal decision making.9. Assists in coordinating, compiling and preparing the annual preliminary budget and subsequent drafts and documentation.10. Assist with the preparation of interim and year end audit information including preparation of schedules and other supporting documentation. Assist auditors with their review and use of Financial Systems and documentation.11. During the budget development process the business analyst will assist in preparing budget development proposal forms; receive and compile submissions in a database for summary reports; maintain and track information as modified and approved for inclusion in budget documents.12. Ensure coordination between budget information and other financial information.13. Perform system maintenances and evaluate problems to determine the need for enhancements and provide training to departmental users in various financial applications.14. Develops and maintains effective communication both within the department and between the department and other departments, divisions, faculties, the OC community, and external agencies.15. Provides support and assistance to other Business Analysts as required, and may be assigned special projects in other areas in Financial Services.16. Provides administrative and operational support to the Finance Management Team.17. Performs other related duties as assigned.Education and ExperienceCompletion of Grade 12 or equivalent, plus a 2 year accounting Diploma and completion of a minimum of 80% of the CPA Prerequisite Education Program (CPA PREP) modules or equivalent courses.Over 4 years and up to and including 6 years of related accounting experience.Skills and Abilities

  • Strong technical accounting and analytical skills
  • Ability to apply principles of logical thinking to define problems
  • Knowledge and ability to document and analyze internal control processes
  • Excellent computer skills with proficiency using Microsoft Excel and Access, and similar complex databases, as well as the ability to generate and analyze reports and to resolve difficulties with computer input and retrieval.
  • Demonstrated problem solving skills and superior attention to detail and accuracy
  • Must be flexible and able to manage high work volume and conflicting priorities to meet deadlines
  • Strong organizational and time management skills
  • Highly developed level of integrity and discretion and able to maintain strict confidentiality and to handle sensitive issues with tact and diplomacy.
  • Able to work effectively both independently and as part of a team with an aptitude for working in a collegial and collaborative environment
