Job Description

Company BioHome and Community Care Support Services South East is one of 14 Home and Community Care Support Services organizations in Ontario with a focused mandate to deliver local health care services such as home and community care and long-term care home placement.These organizations were previously known as Local Health Integration Networks (or LHINs ) at a time when they also led local health care planning and funding, and those functions are now part of Ontario Health.Home and Community Care Support Services South East is dedicated to ensuring the ongoing delivery of local services while Ontario makes changes to improve the health care system to give patients better-connected care with health care providers working as one coordinated team in Ontario Health Teams.The south east region extends from Brighton on the west, to Prescott and Cardinal on the east, north to Perth and Smith Falls, and back to Bancroft. The boundaries are for funding and planning purposes only. Residents of the Home and Community Care Support Services South East can seek health care services wherever they prefer, inside or outside these boundaries.Position SummaryResponsible for the provision of advanced administrative support to the Vice President, assisting in all aspects of work and facilitating the flow of work between the Vice President and Home and Community Care Support Services South East staff, CEO and other external stakeholders. This position is the first contact, primary resource and problem solving facilitator for issues management related to the office of the Vice President requiring the ability to work effectively, and independently with judgment, diplomacy, creativity, initiative and accuracy.MAJOR RESPONSIBILITIES Maintains professionalism demonstrating strict adherence to employer privacy and confidentiality requirements. Coordinates all administrative functions for the Vice President including the establishment of internal protocols, tracking systems and administrative policies and procedures for the office of the Vice President. Initiates, plans and undertakes projects as assigned by or on behalf of the Vice President. Establishes and maintains effective working relationships and acts as liaison between the Vice President and Home and Community Care Support Services South East staff, CEO, Board Chair, MOHLTC staff and other stakeholders. Reviews incoming materials to determine their disposition and initiates action required; monitors tracking systems for deliverables to ensure completion. Updates and makes recommendations to the Vice President on progress, challenges and issues. Ensures the Vice President is properly briefed on all significant matters arising within Home and Community Care Support Services South East. Researches, prepares and coordinates responses to a wide range of issues and enquiries on behalf of the Vice President. Manages the Vice President’s calendar and ensures all travel, accommodation, meeting logistics and documentation requirements are met for numerous meetings scheduled each day. Provides administrative support and/or attends various Home and Community Care Support Services South East meetings as required. Maintains physical, electronic, project and official files , ensuring maintenance or files comply with the Records Management Directive. Assists with Freedom of Information and Protection of Privacy Act requests for information in compliance with the Act. Prepares the Vice President’s expense submissions and reviews Directors’ expense submissions for Vice President approval. Coordinates financial and procurement activities related to the Vice President’s office. Other duties as assigned.Minimum Qualifications & Position Requirements Minimum five (5) years of experience administrative support at an executive level. Post-Secondary education in Business Administration, or a related field Proven ability to respond to a wide variety of issues in a timely manner and address conflicting demands. Excellent judgment in setting priorities, identifying issues and determining action required. Superior oral and written communication skills and relationship management skills. Demonstrated ability to work both independently and collaboratively in a team environment. Sound working computer literacy with the Microsoft Office Suite Must demonstrate excellent writing and document production skills English language mandatory, bilingualism (English/French) is preferred.Competencies Sound understanding of Home and Community Care Support Services South East strategic objectives and priorities.
