Support Staff Full-time Replacement Position(First consideration for Support Staff and Academic positions will be given to internal applicants in accordance with the respective Collective Agreements)The Awards Coordinator serves as the departmental expert for all scholarships, bursaries and awards, providing advice on complex issues and developing departmental policy and procedures where required. The incumbent also manages the department web site, coordinates external communications and high school visits and takes a lead role in the development of the Awards module in the existing student information system.Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement with one (1) day on-site, and four (4) days remote.Responsibilities:
  • Responds to inquiries regarding scholarships and awards from internal and external parties
  • Provides budget planning and money management guidance for students; particularly for students who find themselves without enough resources to fund their education
  • Uses knowledge of OSAP policy and need assessments to offer advice to students with a financial need
  • Interviews students with special circumstances and provides information on accessibility to financial aid programs
  • Acts as departmental expert on all ministry and donor funded awards, scholarships and bursaries offered at the College
  • Responsible for ensuring the recipient selection for all ministry and donor funded awards, scholarship, and bursaries are completed within established deadlines
  • Works closely with the Advancement and Finance departments to ensure award funds are distributed according to established guidelines/terms in a timely manner
  • Maintains data integrity by reviewing and updating data in the Awards Module in the student information system
  • Completes the financial needs assessment for all ministry and college funded bursaries according to established guidelines
  • Acts as resource for internal parties, such as the Advancement Office, the International Office, Department chairs, Deans and Program coordinators
  • Writes and updates procedures for awards processes, and general office procedures, in conjunction with the Associate Registrar
  • Provides guidance to the Student Awards Officers in the distribution of all awards, scholarships, and bursaries in relation to timelines and communications
  • Assists the Associate Registrar in monitoring all budgets and spending for all scholarships, bursaries and awards
  • Liaises with internal parties on all scholarship, bursary and awards communications
  • Works with Information Coordinator to write and plan communications related to the General Awards Application and awards, scholarship and bursary distribution
  • Coordinates and delivers presentations to external parties such as high schools and community groups
  • Participates in associations, such as the Ontario Association of Financial Aid Administrators (OASFAA) and stays current on scholarships and needs-based award guidelines, OSAP policy and Financial Aid trends
  • Participates in College recruitment activities such as Open House event and Orientation events
  • Coordinates the College’s Work Study Program, ensuring that all processes are completed in a timely manner.
  • Reviews, assesses, approves or rejects student work study applications.
  • Liaises with Career Centre, Human Resources, and Finance department as needed for administration of the Conestoga College Work Study Program (CCWSP)
Qualifications:
  • Three-year Diploma/Degree in Accounting, Business, Public Policy or Management Studies
  • Minimum of five years working in a post-secondary institution. Preferred experience working under the Registrar’s Office.
  • Ability to work independently, adhering to established practices, procedures and policies in an environment in a team setting
  • Intermediate to advanced proficiency with Microsoft Excel
  • Strong attention to detail and organizational skills
  • Excellent communication skills and ability to present to large groups of people
  • Ability to organize workload in a logical systematic manner adhering to internal and external deadlines in a high-volume work environment
  • Ability to interpret government policy and procedure manuals
  • Ability to relate to students from varying social economic and cultural backgrounds, including students with special circumstances
  • Ability to handle stressful situations effectively and work well under pressure while applying good judgement and problem-solving skills
  • Demonstrated ability to handle sensitive & confidential information
  • Ability to work closely with, and offer guidance to, other staff members
