Job Title: Medical Office Receptionist/Assistant for Family Medicine PracticePosition Summary & Structure: Busy, friendly, and fast-paced family medical clinic currently seeking a medical receptionist/Medical Office assistant to join our team at a Kitchener Medical facility.The position is structured thus:· Seeking to hire two receptionists, one on a full-time basis and the other on a part-time basis.· The full-time position for up to 37.5 hours weekly; the part-time position for 20-25hours weekly· The office is opened from 9AM to 5PM.· Your primary job work location will be at the Medical clinic in Kitchener.· Pay is $17/hr - $19.00Qualification:1. Education: High School Diploma. Medical Office Assistant Certificate a plus2. Experience: Ability to multi-task and prioritize while working within a busy fast-paced environment. Exceptional customer service, communication and organizational skills with the ability to work independently as well as a team member. Ability to manage sensitive information with integrity and confidentiality. Extensive customer service experience. Practical experience in physician’s office or hospital environment is a plus.An understanding of computers is essential, including some understanding of (or willingness to learn) Electronic Medical Records- EMR and medical terminologies. Experience working in a collaborative group practice is a definite asst.Interpersonal Abilities and Skills:1. Ability to function effectively and efficiently both independently and as a member of the interdisciplinary team to meet the needs of patients.2. Ability to communicate effectively in both written and verbal format with all members of the team; including the ability to function in a computerized environment.3. Ability to organize a wide range of job responsibilities and set priorities to complete tasks in a timely manner.4. Ability to maintain confidentiality in all matters.5. Ability to collaborate with other health team members in a positive manner.6. Ability to acknowledge limitations in knowledge, judgement and skills and function within those limitations.7. Ability to recognize problems or concerns and address issues in a timely, proactive, and positive fashion with the appropriate team member.8. Ability to perform duties in an ethical manner.9. Ability to organize work is critical.Duties and Responsibilities:1. Reception/Customer Service: Providing excellent customer service to patients, in person (at the clinic) and over the phone.2. Scheduling: a. Responsible for scheduling patient visits. b. Responsible for managing the physician’s schedule.3. Maintaining Patient Roster: a. Manage the patient rosters and proactively report issues to the Physician and Director of Operations.4. Documentation: Maintain accurate and concise documentation of all patient encounters on a timely manner, including telephone conversations and office encounters within the computerized EMR system.5. Communication: a. Triage patient telephone calls and questions using problem solving skills within the scope of practice. b. Listen and respond appropriately when interacting with patients and their families. c. Coordinate urgent specialist referrals and appointments as directed by the Physician/Nurse. d. Demonstrate openness to accept changes that support quality of care.6. Office Organization: a. Ordering supplies b. Maintain an orderly, organized office c. Prioritize workload and ensure work gets done on time d. Utilize universal precautions to maintain a clean and safe work environment. e. Handle and dispose of hazardous and infectious wastes properly according to Infection Control guidelines. f. Maintain physician room setup according to physician preference, and well stocked.7. Leadership: a. Collaborate with other team members to facilitate patient care. b. Balance team and individual responsibilities in order to contribute to the ongoing development of a positive team spirit and team excellence. c. Be prepared to contribute in a positive manner to problem solving.
