Position OverviewThe Communications Coordinator is responsible for the supervision and outputs of all staff on the Communications and Content team, leading external communications, press releases, and speeches given by executives/employees, as well as owning all communication aspects of web, social media presence, and content. Their expertise allows them to collaborate and co-develop marketing and communication plans, marketing goals, and promotional activities. The Communications Coordinator ensures the accuracy of our brand and company with consistent branding and corporate identity across all marketing and communication platforms.The Communications Coordinator may also provide supervision and direction to other staff in the coordination of marketing and communications functions and processes. In carrying out supervisory responsibilities, the Communications Coordinator must cultivate and maintain a diverse and inclusive environment in which the variety of participants’ backgrounds, experiences, places of origin, racial/ethnic identities, sexual identities, gender, ages, and more are heard, respected, and valued by everyone.This position reports directly to the Marketing & Communications Manager. In carrying out the duties of this position, a great deal of responsibility is exercised with final overview by the Marketing & Communications Manager. It is also important that the Communications Coordinator works extremely closely with the Marketing & Communications Manager to ensure that they are up to date on the basic overall operations of CSI’s marketing and communications functions. In all activities, it is crucial that the Communications Coordinator recognizes that service to employees and students is a top priority.Duties and ResponsibilitiesSupervision of Staff
  • Day-to-day management of part-time and co-op marketing and communications staff
  • Assist in recruiting and selecting qualified candidates for all part-time and co-op marketing and communications staff in conjunction with Human Resources and the Marketing & Communications Manager
  • Create and conduct job-specific training for all new and current part-time and co-op staff who report to the Communications Coordinator, ensuring all legislated training and other necessary training is completed before working first shift on the job
  • Create and monitor weekly work schedules for the part-time and co-op staff who report to the Communications Coordinator
  • Edit and approve hours of work, submitting bi-weekly to the Human Resources department.
  • Ensure all documentation is accurate and submitted to Human Resources department
  • Plan and schedule regular staff meetings in conjunction with other department supervisors
Day to Day Duties
  • Develop all external communications – press releases, speeches given by executives/employees, company presentations, etc.
  • Final editing & proofreading of all external communications/marketing – press releases, speeches given by executives/employees, company presentation, training programs, paper media, social media, website, etc.
  • Ownership of all social media and website content; providing final edits, approvals, and postings for all platforms. (Twitter, Instagram, Facebook, website, web forms, influencer program, etc.)
  • Develop strategies to curate the Conestoga Student Inc. membership through community-building initiatives.
  • Monitor CSI social media for accuracy related to services, representation, activities and updates
  • Respond to student comments or inquiries on social media
  • Direct the classroom presentations program
  • Assist in ensuring the marketing and events goals & targets are met as outlined in the annual CSI marketing & communications plan
  • Collaborating with Events Coordinator and the Marketing & Communications Manager to develop targeted marketing campaigns
  • Annual revision of college student guides and documents ensuring CSI accurately represented
  • Ownership of the social media contest rewards, prizing, gift bags, etc.
  • Ensure all communication distributed to students and college are compliant with AODA
  • Ensure sold sponsorship space is accurately included in external media outreach.
  • Assist in the on-site set up, production and clean-up of events where required
  • Ensuring user feedback is collected and presented/reported on a regular basis
Other General Duties
  • Work in accordance with corporate by-laws, policies, and procedures, particularly to the CSI Mission Statement
  • Adhere strictly to laws, policies and procedures concerning health & safety, accessibility, etc.
  • Maintain confidentiality for business practices
  • Work in an organized manner where detail, accuracy and confidentiality are critical
  • Mandatory attendance at CSI related training days
  • Complete organizational/special projects as assigned by the Sr. Manager, Human Resources
  • Other duties as assigned
Working ConditionsPhysical DemandsThis position spends long hours sitting and using office equipment and computers, which can cause muscle strain.Environmental ConditionsThis position performs work primarily in a busy, open area office and is faced with frequent interruptions and meetings with others on a regular basis. Travel between campuses and performance of work from home is required as needed. Some work may be required after office hours and on weekends.Sensory DemandsThis position requires long periods of intense concentration. The incumbent must also spend long hours on the computer entering information which requires visual focus, attention to detail, and high levels of accuracy.Mental DemandsThis position is expected to manage and meet multiple competing deadlines, which can cause significant stress. The incumbent also deals with a wide variety of people on various issues.Qualifications
  • Candidates will be asked to demonstrate the following:
    • Ability to create and edit documents in Microsoft Word and Adobe PDF
    • Ability to create and process Excel spreadsheets using complex functions/formulas
    • Ability to write emails and documents in a formal tone
    • Accurate data entry with ability to screen for transcription errors
    • Ability to build positive working relationships
    • Ability to speak to large groups of students in a way that motivates and encourages positive experiences and interactions
    • Ability to address and resolve staff performance issues while considering the principles of equity, diversity, and inclusion
    • Highly organized and skilled time management in handling multiple simultaneous priorities
    • Cultural competence: Respect and understanding for persons who come from a variety of socioeconomic, ethnic, and cultural backgrounds
  • 2 doses of vaccination against COVID-19 (or equivalent)
  • Preference will be given to those who have a deep knowledge of the experience of international students
