Job Description

Executive AssistantReports to: CEOLocation: In person within the Waterloo RegionOrganizational overview: Reception House Waterloo Region is a non-profit organization that enables the successful resettlement of newly arrived refugees by providing temporary accommodation and orientation, assistance securing permanent housing, ongoing settlement and intensive case management services.Scope: The Executive Assistant provides administrative and logistical support to the CEO and the Board of Directors. The ideal candidate is a self-starter with initiative who enjoys working in a fast-paced environment and who understands and supports Reception House’s mission.Main Responsibilities:

  • Provides the CEO with daily assistance supporting administrative elements including taking meeting minutes, scheduling/ coordinating meetings and events
  • Provides high-level administrative support and assistance to the CEO, Board of Directors, and other Directors upon request.
  • Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for senior staff.
  • Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Performs additional duties as assigned by executives.
  • Performs other related duties as assigned.
Qualifications:
  • Bachelors degree, ideally in Business Administration or related field preferred.
  • At least three years of related experience required.
Required Skills and Abilities
  • Advanced knowledge of Microsoft Office Suite and Sharepoint is critical.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Able to type minimum of 50 words per minute.
  • Excellent interpersonal skills, client service and communication skills
  • Ability to deal with confidential material and matters
  • Fluency in oral and written English is ESSENTIAL
  • Ability to work independently and effectively under pressure
  • Excellent organizational skills and the ability to set priorities, plan and meet deadlines
  • Must be eligible to work in Canada
Education and Experience:
  • College diploma required; Bachelors degree in Business Administration or related field preferred.
  • At least three years of related experience required.
