Job Description

In our collaborative and innovative work environment, we believe anything is possible with the right team and the right tools!In your job as Office Assistant, you are responsible for interdepartmental duties in clerical/administrative nature. You have amazing communication and people skills, you were known to be the most organized person in your classes and friend groups, and you certainly love to lend a helping hand where one is needed!We are looking for someone who is in the Waterloo region and able to work in-office due to the nature of work performed.Job Responsibilities:

  • Sorting and distributing incoming mail and preparing outgoing mail
  • Organizing travel arrangements and reservations for individuals or teams
  • Using office equipment like printers, photocopiers
  • Record and prepare minutes of meetings, seminars and conferences
  • Managing the company phone system, administration and extensions
  • Scheduling appointments, meetings and managing calendars
  • Shipping and handling
  • Preparing relevant documents and reports
  • Greeting and directing visitors to appropriate persons or service areas
  • Maintaining kitchen cleanliness as needed
  • Completing purchase orders for and maintaining inventory of office supplies and equipment
  • Assistance with event planning
  • Completing other duties as delegated by department heads and leaders
Required Skills/Experience:
  • MANDATORY: must have reliable transportation and a valid, unrestricted drivers license
  • 1-2 years experience in an Administrative, Assistant or Secretarial role in a workplace setting
  • Proficiency with G-Suite applications (e.g. Google Sheets/Drive/Docs/Calendar/Gmail/Chats)
  • Minimum WPM type rate of 60
  • High organization skills
  • Strong ability to multi-task and effectively prioritize
  • Excellent verbal and oral communication
Nice to Haves:
  • Experience with ClickUp management software
  • Post secondary degree or diploma in Business Administration or related field
  • Previous experience working at a start-up or fast-paced environment
