We are currently seeking an Operations Administrative Asistantto join our team in Kitchener. The Operations Administrative Assistant works under the direction of the Office Manager to oversee the administrative and maintenance operations of a particular portfolio/developments, and will be responsible to meet all contractual obligations and deliverables as well as achieving or exceeding the company’s and client’s key performance indicator targets.This job description is not intended and should not be construed to be an exhaustive list of all responsibilities, or skills required or associated with the job. The employee must maintain strict confidentiality at all times.As a member of the property management team, the key responsibilities of the Operations Administrative Assistant include but are not limited to:Property management office administrationVacancy and arrears management,Preparation of legal forms (N4, N5, etc.)Tenant file administration,Lease administration, tenant liaison, maintenance management.Oversee vendor managementPrepare annual ARR statements and collect tenant deliverablesPrepare annual tenant rent schedulesOversee file management for the property management team, ensuring information is accurate, current, and completeInput tenant information and documentationOther assignments within the scope, spirit and purpose of the job as reasonable requested from time to time by management.Use property management software to track all maintenance work orders. Enter all new work orders on a daily basis and close off completed work orders within 2 business days. Report on a weekly basis to the Office Manager on the status of incomplete items.Keep all work orders and maintenance related documents well organized and properly filed.Assist in the organization of unit inspections as required.Guide tenants regarding filling out work order forms and assist in the education of tenants on maintenance procedures.Review tenant leases and specific charges, discuss with Office Manager any outstanding balances, and provide assistance as needed.Review and/or prepare demand letters where necessary in compliance with lease terms, and conduct follow-up as necessary.Desired Skills and ExperienceTo succeed in this role, the candidate must possess the following combination of education, experience and skills:Post-secondary business education preferredMinimum two (2) years of experience in non-for-profit property management;Experience utilizing HMWorx software - an asset;Knowledge of Residential Tenancy Act -an asset;Experience with leasing and leasing administrationAbility to meet deadlines proficiently;Demonstrates a high degree of integritySuperior oral and written communication skills.Strong computer skills – MS Word, Excel and Outlook.Strong administrative experience in Residential Property Management.Energetic leadership. Enjoys leading by example.
