Job Description

Position: Production CoordinatorLocation: Conestoga College – Doon Campus (with travel as required to other locations, including, but not limited to, Cambridge, Waterloo, Downtown Kitchener, Guelph, Brantford, and other satellite campuses)Reports to: Events ManagerTime Requirement: 35 hours per week (some evenings and weekends may be required)Pay Band (to start): $42,500 to $50,000Company OverviewConestoga Students Incorporated (“CSI”) was founded in 1973 and is the official student association representing more than 21,000 students at all Conestoga College campuses. Position OverviewThe Production Coordinator provides technical direction and execution of audio/visual (AV) enhancements, live productions, and streaming/broadcasting to enhance student activity and engagement.This position reports directly to the Events Manager. In carrying out the duties of this position, a great deal of responsibility is exercised with final overview by the Events Manager. It is also important that the Production Coordinator works extremely closely with the Events team to ensure that they are up to date on the basic overall production efforts for CSI’s events. In all activities, it is crucial that the Production Coordinator recognizes that service to employees and students is a top priority.Duties and Responsibilities
  • Assist in the live, hybrid, and/or remote delivery of events; this includes planning and implementation of AV for in-person student activities and events, and of filming, sound, and streaming for hybrid and virtual events
  • Oversee the coordination, delivery, and set-up of audio-visual equipment for various CSI special events, including conferences, seminars, catering, training, etc.
  • Execute online stream-based content through use of programs and software such as OBS, Twitch, Vimeo, Youtube, Zoom, etc.
  • Support CSI regular programming ranging from running small-scale productions to assisting with large-scale shows
  • Present and host on occasion to support production-focused events
  • Communicate with talent agencies and live sound production teams to troubleshoot technical riders for small- and large-scale live music productions
  • Maintain the audio and visual equipment, ensuring it is operational and kept in a secure space
  • Outline proposed expenditures related to audio and visual equipment for the Events Manager
  • Assist in purchasing and acquiring AV equipment, including submitting purchase request forms in compliance with Financial department policy
  • Submit financial invoices and cheque requisitions to the Financial controller in a timely manner
  • Ensure the successful implementation of any risk management strategies
  • Ensure that production efforts support the maximum potential for event execution and meet the current needs of students
  • Assist with day-to-day event needs, including set-up and tear down
Other General Duties
  • Work in accordance with corporate by-laws, policies, and procedures, particularly to the CSI Mission Statement
  • Adhere strictly to health & safety laws, policies and procedures concerning health & safety, accessibility, etc.
  • Maintain confidentiality for business practices
  • Work in an organized manner where detail, accuracy and confidentiality are critical
  • Mandatory attendance at CSI related training days
  • Complete organizational/special projects as assigned by the Sr. Manager, Human Resources
  • Other duties as assigned
Working ConditionsPhysical DemandsThis position spends long hours sitting and using office equipment and computers, which can cause muscle strain. Long periods of standing and walking is also required for setting up, running, and tearing down events and activities. Lifting of equipment, supplies, and materials up to 30lbs will also be required.Environmental ConditionsThis position performs work primarily in a busy, open area office and in other facilities with exposure to large amounts of people. This position is faced with frequent interruptions and meetings with others on a regular basis. Travel to other locations and performance of work from home is required as needed. Some work will be required after office hours and on weekends.Sensory DemandsThis position requires long periods of intense concentration. The incumbent must also spend long hours on the computer entering information which requires visual focus, attention to detail, and high levels of accuracy. During events, this position may also be exposed to bright lights and loud noises.Mental DemandsThis position is expected to manage and meet multiple simultaneous deadlines, which can cause significant stress. The incumbent also deals with a wide variety of people on various issues.Qualifications
  • Candidates will be asked to demonstrate the following:
    • Deep understanding of trends and best practices in AV equipment maintenance/setup, filming, sound production, and streaming
    • Basic knowledge of current streaming programs and software (e.g. OBS, Twitch, Vimeo) is an asset, but not required
    • Understanding of terminology pertaining to AV technology
    • Understanding of music, tone, equalization, and mixing
    • Understanding of basic processes in talent booking and price negotiation
    • Ability to operate SQ5 sound desk or equivalent
    • Ability to run full band production up to 32 channels and monitor mix
    • Ability to operate a lighting desk
    • Ability to coordinate onsite logistics for AV equipment setup
    • Ability to create and edit documents in Microsoft Word, Excel, and Adobe PDF
    • Ability to write clear formal communications (emails, documents, etc.)
    • Accurate data entry with ability to screen for transcription errors
    • Ability to communicate and build positive working relationships with internal and external stakeholders
    • Ability to speak to large groups of students in a way that motivates and encourages positive experiences and interactions
    • Highly organized and skilled time management in handling multiple simultaneous priorities
    • Cultural competence: Respect and understanding for persons who come from a variety of socioeconomic, ethnic, and cultural backgrounds
  • Full vaccination against COVID-19
  • A valid ‘G’ class driver’s licence and a reliable means of transportation
  • Ability to move heavy equipment up to 50 lbs
  • Preference will be given to those who have a deep knowledge of the experience of international students
