Job Description

Monica Place, KW Counselling and Carizon are currently in Phase 2 of unification. As we begin to work more closely together, we are excited to share postings across all three organizations. The lead organization for this role is Monica Place.Position Description: The Supervisor, Residential and Community Support reports to the Manager, Residential and Community Support. The Supervisor is responsible for the overall operations for the Residential and Community Programs at Monica Place. As a member of the leadership team, the Supervisor also provides on-site and on-call support to other programs and services.Major Areas of Responsibility:

  • Ensure the successful operation of Residential and Community Programs
    • Recruits and orients employees for both programs.
    • Schedules employees to provide adequate coverage for all programs
    • Oversees and supervises the daily operations across both locations
    • Provides “in the moment” coaching for staff in all aspects of program delivery
    • Assesses and attends to the training needs of the staff group at any given time
    • Provides on-going supervision and performance appraisals for all staff working in each program
    • Oversee the intake and discharge processes of both Residential and Community Programs
    • Ensures that employees have all necessary information about clients’ needs so they can provide optimal support
    • Supports the team in their program planning.
    • Oversees the documentation of all aspects of the programs, including the records of each client’s participation in the program and the statistical records that align with the service targets for the programs
    • Monitors all aspects of the health and safety of the clients and staff
    • Monitors the quality standards for the program and actively finds opportunities for improvement
    • Monitors risks associated with the programs and carefully documents all risk related incidents according to Monica Place policies
    • Maintains and responds to communication from clients, families and community partners including their general inquiries and their feedback and complaints
    • Functions as part of a supervisory team that provides evening and weekend on-site and on-call support to other programs and services.
    • Ensures goals, objectives and plans for all programming align with the mission, vision and values and are in line with the organization’s strategic plan and operating plan
    • Is an ambassador for the programs by attending interagency meetings and making presentations in the community
    • Functions as a member of the leadership team, attending and contributing to their regular team meetings.
    • Provide emergency coverage for staff (where appropriate)
  • Human Resources Management
    • Be responsible for human resource activities including recruiting, selecting, hiring and professional development of program staff in accordance with the policies, practices and values of the Agency
    • Ensure that new staff complete the organization’s required orientation process and service training requirements
    • Ensure that employees have clear goals, responsibilities and accountabilities, and support employees in their efforts to achieve job goals.
    • Evaluate and verify employee performance in accordance with agency policy
    • Establish a regular routine for providing feedback to staff, including regularly scheduled supervision meetings
    • Develop annual staff education plan with input from staff for development and training needs and ensure that training is obtained
    • Follow policies and procedures as provided by the Organization, the Collective Agreement and any relevant legislation
  • Communication and Organization Skills
    • Ensure timely and effective communication with the team and assist in effectively managing change and conflict
    • Participate in the preparation of Strategic Planning and Annual Operating Plan, Quality Plan and other planning as required
    • Develop good working relationships with youth we support, community agencies and service providers
    • Use time and tools effectively to manage workload and meet deadlines
  • Administrative Duties and Responsibilities
    • Use and manipulate data to inform decision making
    • Assist with scheduling and ensure all programs are adequately staffed
    • Approve time sheets for payroll biweekly
    • Approve file documentation and perform file audits
    • Participate in the “Management on call” system
  • Community Involvement
    • Develop and maintain collaborative working relationships with allied community agencies and professionals and participate in community committees for the benefit of assigned programs and the agency overall
    • Provide agency representation on external committees at the direction of the Executive Director
    • Identify opportunities where Monica Place could benefit from linking with other community agencies/resources to improve service delivery
Job Requirements
  • Broad knowledge and experience in Social Services Sector including work with young parents and families
  • Ability to become an ally to youth, using a respectful, non-judgmental, empathetic and strengths-based communication style
  • Above average skills in communication and listening, ability to clearly present verbal information A thorough, advanced understanding of evidence informed/evidence-based practices for promoting trauma, attachment, resilience and wellness-based mental health programs services to infants, children, youth and their families
  • Proven ability to effectively manage workload, schedule activities and appointments to meet the demands of the position through time management and organization skills
  • Excellent skills in written communication ensuring relevant information are documented accurately
  • Demonstrated ability to supervise others and identify performance and disciplinary matters in a professional and constructive manner
  • Demonstrated ability to take action and make timely appropriate decisions
  • Extensive knowledge of young parent resources, relevant legislation, support and services
  • Understanding of multi-cultural communities and values diversity
Education and Experience
  • Undergraduate degree in a human services field or combination of education and experience that is deemed to be equivalent to an undergraduate degree (e.g. experienced child and youth worker, recreation therapist, etc.).
  • 1-2 years supervisory experience and/or training in a similar setting or related health/social service
Working Conditions
  • Must have valid G license and personal use of reliable vehicle
  • Shift work with flexibility required to meet operational requirements and on call situations
    • 4 10-hour days/week with one to two weekends per month
    • Required to work at both Monica Place locations, and other locations across the Region of Waterloo as needed
