Position OverviewThe Transportation Manager is responsible for overseeing and coordinating CSI’s student transportation program. This position is also responsible for arranging shuttle maintenance and shuttle routes, supervising the Shuttle Drivers, and overall ensuring that shuttle operations are running safely and at optimal capacity. In carrying out the duties of this position, a great deal of autonomy is exercised with final overview by the Sr. Manager, Services. When required, this position will safely operate CSI shuttle buses; while picking up, transporting, and dropping off students, the Transportation Manager must maintain order and security on the shuttle and obey all laws, regulations, and rules of conduct. The Transportation Manager must also deal with students in a courteous and respectful manner.This position reports directly to the Sr. Manager, Services. In carrying out the duties of this position, a great deal of autonomy is exercised with final overview by the Sr. Manager, Services. It is also important that the Transportation Manager works extremely closely with the Sr. Manager, Services to ensure that they are up to date on the basic overall operations of CSI’s student transportation services. In all activities, it is crucial that the Transportation Manager recognizes that safety and service to students is a top priority.Duties and ResponsibilitiesSupervision of Shuttle Staff
  • Manage the overall operations of the CSI shuttle service
  • Supervise the day-to-day duties and responsibilities of Shuttle Drivers, including (but not limited to) scheduling, team motivation, performance management, and disciplining/terminating where required in conjunction with the Sr. Manager, Services and Human Resources department
  • Conduct quarterly audits of the Shuttle Drivers against a defined skills matrix and report the findings to management; provide coaching/support as needed
  • Verify accuracy and completeness of required Shuttle Driver documentation on a regular basis
  • Create and monitor weekly work schedules for shuttle staff
  • Plan and schedule individual meetings with shuttle drivers to maintain an understanding of shuttle operations
  • Ensure Shuttle Drivers are maintaining order and adhering to the schedule as outlined
  • Edit and approve hours of work, submitting bi-weekly timesheets to the Human Resources department
  • Ensure all employee documentation is accurate and submitted to Human Resources
  • Assist in the recruitment and selection of qualified candidates for all shuttle services positions
  • Create and conduct job-specific training for all new and current shuttle staff
  • Ensure all shuttle staff complete all required legislative training and onboarding procedures in collaboration with Human Resources
  • Report shuttle usage counts to the Sr. Manager, Services on a weekly basis
Shuttle Fleet Maintenance
  • Ensure that shuttle buses are licensed, registered, insured, and regularly maintained in accordance with MTO/CVOR and CSI policies and procedures
  • Schedule all maintenance as required to keep the shuttle fleet operating at optimum capacity at all times (e.g. oil changes, filling the fuel tank, repairs)
  • Ensure that vehicles removed from service are promptly sent for repair if required
  • Coordinate a Preventive Maintenance schedule, audit checklist, and review process that can assist the daily drivers to identify issues
  • Provide technical assistance as required for vehicle maintenance and execute mechanical work on the vehicles where possible
  • Order and maintain all supplies required for shuttle fleet operation, ensuring safety equipment is available and ready to use
  • Coordinate shuttle routes, times, and information, ensuring signs are up to date
  • Ensure shuttle fleet is operating safely and efficiently according to all relevant legislation, policies, and procedures
  • Ensure daily safety and maintenance checks are completed
  • Conduct periodic inspections of each vehicle, equipment, and the garage to ensure maintenance/cleanliness practices are being followed; document and report any concerns or adjustments required
  • Ensure shuttle fleet is cleaned on a regular basis to meet the needs of clientele
  • Ensure shuttle fleet is safely and securely stored
  • Ensure a high standard of order and cleanliness is maintained daily both inside and outside the shuttle garage
  • Advise the Sr. Manager, Services of any requirements for maintenance or repairs
  • Provide regular maintenance feedback to management regarding scheduled and unscheduled work that has been or is scheduled to be executed
  • Facilitate charter requests by providing a quote and scheduling operators
  • Ensure timely communication occurs with all Shuttle Drivers and stakeholders, addressing and communicating concerns, repairs, and changes to the vehicles
  • Answer any inquiries in a timely manner
Shuttle Bus Operation
  • As needed, operate shuttle buses safely and efficiently according to all relevant legislation, policies, and procedures in a manner that minimizes risk of injury, property damage, or loss of life
  • Pick up, transport, and deliver students in accordance with a set schedule
  • Ensure students are aware of rules and responsibilities as passengers
  • Maintain schedules and maintain order/discipline on the shuttle bus during scheduled shuttle times and special activities
  • Make note of any behavioural issues or complaints from student users about schedules or the level/quality of service, and respond in a courteous and respectful manner
  • Track and record daily shuttle bus usage counts
  • Complete daily safety and maintenance checks
  • Perform all minor maintenance duties as needed such as checking fluid levels, changing the oil, filling the fuel tank, etc.
  • Clean the buses as scheduled and/or required
Student Transportation Strategy
  • Research, plan, and implement alternative student transportation options
  • Establish and liaise with CSI’s contacts at Grand River Transit and coordinate the purchasing and distribution of GRT bus passes for student members
Other General Duties
  • Work in accordance with corporate by-laws, policies, and procedures, particularly to the CSI Mission Statement
  • Adhere strictly to health & safety laws, policies, and procedures
  • Maintain confidentiality for business practices
  • Work in an organized manner where detail, accuracy and confidentiality are critical
  • Mandatory attendance at CSI related training days
  • Completion of training sessions and certification programs related to First Aid and CPR, air brake (Z) endorsement, etc. (funded by CSI)
  • Complete organizational/special projects as assigned by the Sr. Manager, Services
  • Other duties as assigned
Working ConditionsPhysical DemandsThis position spends long hours sitting and using office equipment and computers, which can cause muscle strain. This position may also spend long hours sitting and operating a large vehicle, which can cause muscle strain. Lifting of supplies and materials up to 30lbs will also be required.Environmental ConditionsThis position performs work primarily in a busy, open area office and is faced with frequent interruptions and meetings with others on a regular basis. Frequent travel between campuses will be required. This position may also work in a busy, enclosed vehicle, driving in snowy, icy, or wet road conditions. Some work will be required after office hours and on weekends.Sensory DemandsThis position will require long periods of intense concentration. The incumbent must also spend long hours using a computer or driving which requires visual focus, attention to detail and high levels of accuracy.Mental DemandsThis position is expected to manage and meet multiple simultaneous deadlines, which can cause significant stress. This position may also be expected to meet a set driving schedule and must also be able to deal with a wide variety of people on various issues.Qualifications
  • Experience working with shuttle buses and/or scheduling and dispatching drivers
  • Candidates will be asked to demonstrate the following:
    • Understanding of transportation-related rules, regulations, and best-practice
    • Understanding of vehicle maintenance best-practice
    • Understanding of basic supervision and performance management processes
    • Ability to read and comprehend legislation related to transportation
    • Ability to create and edit documents in Microsoft Word, Excel, and Adobe PDF
    • Ability to write emails and documents in a formal tone
    • Accurate data entry with ability to screen for transcription errors
    • Ability to build positive working relationships
    • Ability to address and resolve staff performance issues while considering the principles of equity, diversity, and inclusion
    • Highly organized and skilled time management in handling multiple simultaneous priorities
    • Cultural competence and ability to show respect to students who come from a variety of socioeconomic, ethnic, and cultural backgrounds
