Job Description

Position OverviewThe Wellness Assistant provides support and assistance to the Wellness Coordinator in the provision of CSI’s wellness services and wellness programming, including (but not limited to) the CSI health plan, the Student Nutrition program, and practitioner services.The Wellness Assistant may also provide supervision and direction to student staff in the provision of wellness services. In carrying out supervisory responsibilities, the Wellness Assistant must cultivate and maintain a diverse and inclusive environment in which the variety of participants’ backgrounds, experiences, places of origin, racial/ethnic identities, sexual identities, gender, ages, and more are heard, respected, and valued by everyone.This position reports directly to the Wellness Coordinator. In carrying out the duties of this position, a great deal of responsibility is exercised with final overview by the Wellness Coordinator. It is also important that the Wellness Assistant works extremely closely with the Wellness Coordinator to ensure that they are up to date on the basic overall operations of CSI’s Wellness services and programming. In all activities, it is crucial that the Wellness Assistant recognizes that service to students is a top priority.Duties and ResponsibilitiesOffice Administration
  • Assist in the planning, implementation, and execution of Wellness programming at Conestoga College
  • Provide quality customer service to the students of Conestoga College, adhering to the CSI Customer Service Standard
  • Respond to student and staff inquiries in a timely manner, directing client questions to the appropriate person
  • Monitor the Wellness Office email inbox, redirecting and responding to student/staff inquiries as needed in a timely manner
  • Provide administrative and receptionist services, including answering inquiries, greeting clients and students, photocopying, faxing, filing, typing, etc.
  • Answer telephone calls and respond appropriately to clients over the telephone; make phone calls to clients to provide reminders of upcoming appointments
  • Provide information and support on the student health plan, Food Bank, chiropractic services, massage therapy, and physiotherapy services
  • Assist with Virtual Office Hours for the Wellness Office when required
  • Prepare food hampers for the Food Bank as needed in accordance with the standard hamper guide
  • Update community and college resource board and materials as needed
  • Track all client inquiries, feedback, and concerns on the inquiry tracking spreadsheet
  • Assist the Wellness Coordinator in creating monthly counts and creating end-of-semester reports
  • Work closely with the Wellness Coordinator, reporting the status of CSI’s Wellness Office operations
  • Complete clear, accurate, and legible shift reports at the end of each shift when required
  • Report hunger counts and student usage to the food bank of the applicable region on a monthly basis
  • Ensure a high standard of cleanliness in the Wellness Office area at all times
  • Open and close the Wellness Office and ensure that closing checklists are completed
  • Inventory control of supplies and materials, including ordering, monitoring, researching new products and services to be offered, etc.
  • Implement continuous improvements to CSI’s Wellness services to ensure operations meet the needs of students
  • Assist in the planning, implementation, and execution of an annual marketing and communications plan for the Wellness Office in conjunction with other departments
  • Assist in research projects and other special projects for the Wellness Coordinator, as needed
Administration of Health Services
  • Maintain contact with CSI’s health plan provider to troubleshoot day-to-day issues encountered with clientele
  • Input forms for massage therapy, physiotherapy, and chiropractic services into database when required
  • Verify student enrollment and data accuracy through the College SIS system, troubleshooting data when necessary
  • Create new client files and ensure appropriate paperwork is completed properly for massage/physiotherapy/chiropractic clients
  • Input and maintain client information in the database
  • Process payments and invoices for massage therapy, physiotherapy, and chiropractic services using the POS system, ONE Card machine and debit/credit card machine
  • Collect outstanding fees from clients
  • Balance daily sales at the end of every shift
  • Collect claim forms and submit to Sun Life Financial
  • Maintain fresh, clean linens at all times for massage therapy and physiotherapy use
Other General Duties
  • Work in accordance with corporate by-laws, policies, and procedures, particularly to the CSI Mission Statement
  • Adhere strictly to health & safety laws, policies, and procedures (including COVID-19 policies)
  • Maintain confidentiality for business practices
  • Work in an organized manner where detail, accuracy and confidentiality are critical
  • Mandatory attendance at CSI related training days
  • Complete organizational/special projects as assigned by the HR Generalist
  • Other duties as assigned
Working ConditionsPhysical DemandsThis position spends long hours sitting and using office equipment and computers, which can cause muscle strain.Environmental ConditionsThis position performs work primarily in a busy, open area office and is faced with frequent interruptions and meetings with others on a regular basis. Travel between campuses and performance of work from home is required as needed. Some work may be required after office hours and on weekends.Sensory DemandsThis position requires long periods of intense concentration. The incumbent must also spend long hours on the computer entering information which requires visual focus, attention to detail, and high levels of accuracy.Mental DemandsThis position is expected to manage and meet multiple simultaneous deadlines, which can cause significant stress. The incumbent also deals with a wide variety of people on various issues.Qualifications
  • Candidates will be asked to demonstrate the following:
    • Deep understanding of best practices in customer service
    • Foundational understanding of health insurance processes and related terminology
    • Ability to read and comprehend legislation related to health & safety, and accessibility
    • Ability to create and edit documents in Microsoft Word, Excel, and Adobe PDF
    • Ability to write emails and documents in a formal tone
    • Accurate data entry with ability to screen for transcription errors
    • Ability to build positive working relationships, especially with practitioners in the health services field
    • Ability to speak to large groups of students
    • Ability to address and resolve staff performance issues while considering the principles of equity, diversity, and inclusion
    • Highly organized and skilled time management in handling multiple simultaneous priorities
    • Cultural competence
  • 2 doses of vaccination against COVID-19 (or equivalent)
  • Preference will be given to those who have a deep knowledge of the experience of international students
