Ketler Farms is a joint venture operation with Nature Fresh Farms Inc. It is a 30-acre state-of-the-art greenhouse facility that is committed to quality vegetable production.Job OverviewReporting to the Operations Manager, the TFW Program Administrator is a vital team member who is ultimately responsible for the Ketler Farms TFW program which covers all aspects of assisting guest workers from arrival to interim employment and finally departure.Job Specific Duties · Comply with federal, provincial, and local legal requirements by studying existing and new legislation with respect to the TFW program, anticipating new or updated legislation, enforcing adherence to requirements, and advising management on required actions. This would include coordinating Health Unit meetings, Quarantine requirements etc. if needed.· Receive guestworkers upon initial arrival to Ketler Farms.· Coordinate isolation accommodations and supplies for new arrivals following COVID-19 protocols as outlined by municipal, provincial, and federal guidelines.· Assist with the development and administration of programs, procedures, and guidelines to help align the guestworker workforce with the strategic goals of the company.· Coordinate and assist in all guestworker entry and exit requirements, including LMIAs, flights, renewing visas, insurance and work permits if required.· Creating employee verification letters.· Facilitate employee guestworker orientations and training as needed.· Maintaining guestworker related information using the Human Resource database, internal systems and use of manual filing systems.· Coordination with payroll department on guest worker onboarding, offboarding and any deductions incurred.· Coordinate buses and taxis for appointments, events, or weekly shopping.· Conduct bi-weekly housing inspection in coordination with HR H&S Generalist.· Collaborate with vendors for guest worker uniform program and various industry supplies required for the overall greenhouse operation.· Maintain Bunkhouse inventory and obtain supplies when required.· Assist HR and managers with guestworker inquiries and complaints, reporting incidents, conduct investigations and meet with managers to determine effective remediation techniques.· Assist management and supervisors through the progressive discipline process for guest workers.· Prepare employee separation notices and related documentation and conduct exit interviews to determine reasons behind separations for guest workers.· Responsible for translating and maintaining, employee files, policies, employee notices, trainings, and employee communication boards both within the facility and bunkhouses.· Supporting the HR team members with general administration and company wide events as required.· Actively initiate, participate in and support continuous improvement initiatives.· Additional duties as assigned.Qualifications· 1+ years’ HR experience preferably with TFW Programs in a dynamic, fast-paced, high-volume environment.· Must be proficient with Microsoft 365 applications.· Fluency in Spanish and English is required.· Excellent verbal and written communication skills with the ability to develop and maintain relationships of trust with individuals at all levels of the organization.· Strong problem-solving skills required to analyze/solve problems and any unforeseen complications that could arise.· Must be able to prioritize and multi-task while having strong organizational skills and attention to detail.· Ability to manage sensitive and confidential information with tact and discretion.· Valid driver’s license and personal vehicle are required.· Available to work Monday-Saturday after hours may be required at times.
