Responsibilities:
  • Support Lloydminster Workplace Operations services including janitorial, shredding, consumables/supplies, coffee/water/kitchens, corporate stationery, delivery services, reception, life safety equipment, maintenance and repairs and building critical response for 5 Lloydminster buildings.
  • Liaise with Property Management team as required.
  • Support and appropriate service delivery levels, including internal client interaction, third-party contracts and vendor relationships.
  • Identify issues, analyze and select appropriate solutions, advise, and implement opportunities for change and continuous improvement to align service delivery processes with business needs and office standards.
  • Support vendor janitorial services including office cleaning requirements/programs with cleaning vendors in each building, arranging additional cleaning, cleaning audits, and other related services. Ensure performance objectives are met and quality of service is delivered.
  • Support Goods Receipt entry, PO creation, SES approvals and invoices as required.
  • Provide on-site support for the Planning, Design & Construction Specialist regarding Lloydminster building construction projects as required.
  • Manage Cenovus Lloydminster Workplace email address, which is responsible for sending out building communication to staff and answering basic staff questions.
  • Coordinate staff moves and support building restack(s).
  • Support setup of newly hired or transferred employees and contractors within the internal systems to ensure effective onboarding.
  • Support management of offboarding, return of personal belongings and collection of Cenovus assets.
  • Assess and respond to emergency, urgent or unplanned base building events as required, and/or escalate and action. Partner with business units with coordinating service calls and outside vendors for projects, building critical incidents, repairs and building issues as required.
  • Support fleet/pool vehicle process; keys, maintenance, registration and auction.
  • Manage PPE room process including visitor PPE sign out/returns, coverall dry cleaning etc.
  • Manage keys and cores for office furniture, cabinets and inventory.
  • Provide vacation time/sick day coverage for reception, mail/courier, and supply room if required.
Qualifications:
  • Must be legally entitled to work in Canada.
  • 5 years administrative experience.
  • Clearly demonstrate ability to analyze and apply solid logic for solving problems as well as experience identifying innovative solutions.
  • Excellent time management skills with a proven ability to respond to tight deadlines and schedule revisions.
  • Highly focused on customer service, including understanding client needs, identifying options and finding solutions.
  • Self-starter and effective working in both team and individual environments.
  • Ability to manage and lead change while minimizing client disruption.
  • Strong attention to detail and knowledge of financial metrics.
  • Ability to lead diverse projects with a wide range of people and across multiple locations.
  • Effective at dealing with ambiguity – can cope with change and shift gears comfortably.
  • Demonstrated ability to meet deadlines and complete projects with a quick turnaround time.
  • Strong people, organizational, written and oral communication skills, including presentation creation and delivery to varied audiences.
  • Proven ability to identify areas of improvement and effect changes to achieve greater efficiency in both process and systems.
  • Flexibility to work weekends and extended hours when required to complete a project or deal with an emergency.
