  • Act as a primary resource to complete administrative requests from equity partners
  • Prepare various letters and correspondence
  • Handle scanning, faxing, mail, couriers, help with digital archiving and more for partners
  • Act as a liaison between partners and the billing department by helping to analyze the work-in-process, creating bills for the partners, and sending final bills to clients
  • Sending out statements of accounts to clients
  • Sending collection notices and follow up emails or calls to clients
  • Create clients and mandates in CRM and ensure that all data and information remain up to date
  • Ensure that the information in the file management system (XCM) and electronic file management (EDC – Docushare) are accurate and make corrections as needed.
  • Keep track of confidential information for partners with regards to timely e-filing of their personal tax returns and ensure instalments are paid on-time
  • Prepare expense reports for some partners
  • Assist with timesheets when needed
  • Manage calendars and schedule internal and external appointments, meetings, gatherings, and various other events in conjunction with Marketing
  • Prepare meetings minutes as needed and share follow-up documentation
  • Assisting partners with client lists
  • Assist with reception tasks (manage calls, greeting clients/visitors, etc.) and replace the Receptionist on an as needed basis
  • Handle other various administrative and data entry tasks for partners
What the individual needs to succeed in this role
  • AEC or DEC in administration or other relevant degree
  • Minimum 7 years of experience, preferably in the professional services industry
  • Bilingual English and French, written and spoken
  • Good knowledge of Microsoft Office (Word, Excel, Outlook)
  • Experience with a CRM is a strong asset
The ideal candidate will stand out for their organizational, time and priority management skills and strong attention to detail. The Executive Assistant to the Partnership is methodical, resourceful, tech-savvy and has good interpersonal skills.
