Job Description

To find out more about UA, please visit us at www.mcgill.ca/advancement/ua-careers .Position Summary:Under the general direction of the Associate Director, Donation and Compliance, the Gift Agreement Associate is responsible for supporting the Gift Agreement Officers and the Gift Compliance Officer, drafting standard Memorandums of Agreement, providing advice to support the development activities related to the solicitation and approval process of University’s major gifts and the stewardship of legal obligations.Primary Responsibilities:

  • Draft documentation for new philanthropic gifts to the University as well as amendments of student awards’ terms.
  • Liaise with various internal clients involved in approving and formalizing gifts, including Legal Services, University Advancement colleagues, Office of the Provost and Vice-Principal (Academic), Office of the Vice-Principal (Administration and Finance) and Office of the Associate Dean, Student Life and Learning.
  • Obtain required internal approvals related to philanthropic agreements (naming, matching, student awards terms, etc.).
  • Ensure proper safekeeping of documentation, recording of legal obligations stewardship tasks resulting from philanthropic agreements in client management system.
  • Assist internal clients in finding information documents related to the University’s and/or development’s guidelines, policies and procedures, and in filling forms related to gift agreements.
  • Keep the units’ reference documents up-to-date.
  • Undertake special projects and perform related duties as required.
Other Qualifying Skills and/or Abilities
  • DEC III in Paralegal Technology preferred or four to five years as Procurement Specialist, Purchasing Administrator or Purchasing Technician or related field such as contract management or paralegal work.
  • Proven experience in contract drafting, preferably in higher education setting, student awards, stewardship, compliance, development.
  • Excellent interpersonal skills with strong communication skills.
  • Ability to communicate clearly in writing what is needed in order to finalize a gift or other mandate/project.
  • Ability to act with diplomacy, tact when proposing, and negotiating gift documentation with internal clients.
  • Demonstrated ability to manage competing priorities when high demand for documentation and/or reports or other information.
  • Ability to work autonomously and as part of a team in a complex, changing, fast-paced environment.
  • High attention to details and organization skills.
  • Client-focused with problem solving, priority setting, analytical and organizational skills.
  • Demonstrated knowledge of the McGill environment is an asset.
  • Demonstrated ability to work in a PC environment, using MS Office, and client-server database software.
  • English, spoken and written; French, spoken and written.
