Position: Receptionist – Switchboard operator - Casual TermClassification: Hospital Employees UnionReports to: Reception Team LeadSalary Range: $20.31 at 85%, $21.43 at 90%Hours: Monday to Friday: 8:30 am to 5 pm Term: Casual-Term Location: Gitlaxt'aamiksNisga’a Valley Health Authority (NVHA) oversees four Health- and Wellness facilities located across the Traditional Nisga’a Territory. Located 100 km Northwest of Terrace, bordering British Columbia's rugged Northwest coast, the Nisga'a Lands are blessed with soaring mountains, dramatic lava beds, picturesque fjords, and thriving rivers and crystal-clear streams.Currently NVHA has recently redeveloped our Health Care Delivery/Health Promotion Service Model and is seeking vibrant, self-motivated and innovative Community Wellness Liaison interested in playing and integral part of cutting-edge Indigenous Health Programming and Service Delivery within the beautiful Nisga’a Territory.Job Summary: This is a term position and will be based on the return of the incumbent. The receptionist will undertake the reception and clerical duties for the administration department, including the opening and recording of incoming mail, drafting correspondence, organizing and distributing reports, scheduling appointments, typing and filing. The Receptionist will assist with the daily bus schedule.Roles and ResponsibilitiesReceives visitors and operates telephone switchboard, provides information and directs patients to appropriate areas.Obtains information required from patients and completes a variety of standard forms.Schedule delivery appointments by communicating with customers/drivers via phone, fax, email and Internet. Schedules patient appointments for physicians including specialist referrals.Handles incoming mail and outgoing mail for pick up.Responsible for organizing work and meeting deadlines.Verifies, prepares, and logs employee daily attendance sheets.Communicates with Business Run drivers and follow current standards, policies and procedures.Responds to public inquiries and is solution-oriented.Maintains good public relations in a professional manner and is able to remain calm and diffuse stressful situations.Performs related clerical duties, such as word processing, maintaining filing and record systems, faxing and photocopying.Stay current with all regulations, practices, reporting requirements. Performs other duties as required.Education, Qualifications and experience:Minimum Grade 12 education and graduation from an Administrative or Secretarial Training Program.Minimum 2 years’ administrative experience within a complex office environment.Knowledge of general office procedures and business administration.Excellent grammar skills to prepare written letters and reportsExcellent oral, verbal and interpersonal communication skills.Keyboarding at 50 wpm or higher. Excellent computer skills: MS Excel, Access, Word, PowerPoint, Outlook.Strong database knowledge and knowledge of Filemaker pro, an asset.Ability to research a variety of issues and assist with reports.Ability to work under pressure and execute strong time management.Ability to work well in a team environment.Must have a strong attention to detail and maintain a high level of accuracy.Ability to maintain professionalism and confidentiality with client records.Knowledge of the Nisga'a Language and Culture is an asset.
