Job Description

The CompanyArjae Design Solutions Ltd. is a fast growing Engineering, Design and Fabrication company providing unique solutions to clients in the energy industry. With an expanding scope of projects, we are involved in engineering and fabrication of oil & gas equipment, existing plant upgrades, as well as new facility design and fabrication work.About the RoleWe are currently looking for an Administrative Assistant to perform a variety of document control and administrative functions including administrative support and document control to engineering team, time entry, reception and other related administrative responsibilities for the company.We are looking for a self-motivated and detail-oriented individual with a minimum of 3 years experience in a related role who can work independently and has strong problem-solving and communication skills. As Administrative Assistant your main goal will be to provide administrative support and services in a fast-paced environment to a variety of groups internally in both the office and fabrication facility.Key ResponsibilitiesAs Administrative Assistant, your responsibilities will include:- Preparing, collecting, tracking, maintaining, revising, and submitting project-related documentation- Submitting documentation to clients for approval, tracking approval process, and communicating with project personnel- Ensuring fabrication team has updated documents and drawings required for production- Providing project/production/quality support and preparing turnover documentation for clients- Providing administrative support to the project & engineering teams- Performing time entry for shop and office employees with a very high level of accuracy for customer invoicing and payroll- Performing reception duties for the office, greeting and directing visitors, and handling other phone or in-person inquiries- Providing support and assistance to other groups in the office and shop as required- Following and supporting Arjae’s safety policies, programs and procedures in support of our commitment to the safety of all employees, clients, and other stakeholders- Performing other related duties as assignedQualifications/Requirements: - Strong organization, communication and customer-service skills- Demonstrated experience and commitment to performing detail-oriented work with a very high degree of accuracy- Previous experience in document control and/or administration, preferably in an engineering and/or fabrication environment- A minimum of 3 years experience in an administrative and/or document control related role is preferred- Certificate or diploma from an Office Administration-related program is an asset but not required- Ability to multi-task and provide administrative support to multiple internal groups in both an office and shop environment- Strong computer skills and proficiency in Excel, Word, Outlook, Adobe and/or Bluebeam Revu are required- Collaborative and team-oriented approach to support the business- Ability to work in a fast-paced, entrepreneurial environmentAdditional Information: - This position is based in our office in Nisku, Alberta- Must be legally entitled to work in CanadaPlease apply in confidence.
