Job Description

Reporting to the Base Manager, the Office Manager is responsible for ensuring that all day-to-day operations for base administrative processes and personnel. This position is responsible for accounts receivables, accounts payable, supporting finance and accounting functions, field ticket invoicing, HR support, training, safety, and project analysis.ResponsibilitiesAdministration

  • Provide administrative support to the General Manager, and Director of Technical Services – Industrial Services as required
  • Oversee the role of Base Administrative Assistant, delegate various administrative duties
  • Supports the Accounting Department to ensure processes are completed by deadlines and completes reports or projects for the department as required
  • Review and follow-up on service orders at all stages
  • Processing inquiries for accounts receivables/payables
  • Project costing analysis support
  • Base level HR processing, assists in onboarding of new hires
  • Process field tickets through to accepted customer invoices
  • Supports technical partnerships, MSA Agreements or commercial administrative issues as needed
  • Development, collaboration, and implementation of continuous improvement regarding office procedures
  • Contribute to weekly leadership meetings prepared with updates, suggestions and requests
  • Implements new administrative procedures to improve processes
Proposal Writing
  • Liaise effectively with the proposal team to develop proposal content
  • Assists in coordination of proposal process, proposal resources and timelines ensuring deadlines are met
  • Undertakes assigned business improvement projects relating to the proposal preparation and contract functions
  • Ensure job quality, safety requirements, and standard procedure is in alignment with company standards, government legislation, and customer requirements
  • Coordinate dissemination of technical and operational information to the client with assistance from the Sales group and/or the Engineering Technical group
  • Develop appropriate product literature with assistance from Engineering
  • Additional tasks as required to best support the operation of the business
Qualifications
  • Completion of High School is a requirement, Post Secondary Education in Office Administration is an asset
  • Previous experience in office administration and accounts receivable
  • Previous supervisor experience, proven ability to lead and promote a successful team
  • Knowledge and experience in all administrative duties
  • Computer proficiency in MS Outlook, Microsoft office with skilled knowledge of Excel
  • Extensive technical and practical knowledge of operations, products, company policies, and government regulations
  • Strong oral and written communication and interpersonal skills
  • Strong organizational and time management skills with the proven ability to prioritize
  • Ability and desire to consistently meet deadlines with minimal supervision
