Job Description

Regal Security Inc. is currently seeking an Accounting and Payroll Administrator at our Head Office location in North York. This position is available for full-time or part-time as a one-year contract with the possibility of permanent status. The Accounting and Payroll Administrator is expected to work Monday to Friday, from the head office.This position is responsible for the obtainment of outstanding client account balances and account reconciliations for accounts receivable. Accountabilities include processing accounts receivable, accounts payable, and some activities of the payroll function, including accounting, journal entries, and reconciliations while ensuring compliance with company policy, collective agreements, and government legislation. The working environment is fast-paced with deadline-driven tasks. The incumbent must have a high level of discretion in handling confidential information, be able to manage multiple items at once, and effectively prioritize tasks.Key Accountabilities:Accounts Receivable:

  • Prepare invoices from different revenue streams, ensuring proper supporting documentation is attached.
  • Posting, processing, and verification of receipts
  • Setup new customers, sales orders, and projects
  • Perform Credit Reference checks as required
  • Sort and file documents after processing
  • Prepare all bank deposits
  • Make collections calls, faxes, and overdue invoice statements
  • Reconcile accounts payable & receivable, expenses
  • Investigate and resolve invoicing discrepancies
  • Tracking petty cash and safe balance
  • Other accounting tasks as required
Accounts Payable:
  • Review invoices for accuracy, ensure a proper backup is sourced. Attain required approvals.
  • Accurately code to GL account(s), and cost to a specific project(s) in SAGE
  • Sort documents and process invoices for payment
  • Reconcile vendor statements for accuracy
  • Draft payment checks or vouchers
  • Process all Credit Card Statements including sourcing receipts, matching against the statement, posting, and project allocation.
  • Supply weekly Accounts Payable Aging Report
  • Perform bi-weekly cheque runs
Payroll:
  • Process biweekly multi-provincial payroll for hourly, salaried, and contract employees using SAGE
  • Ensure the accuracy of payroll earnings and deductions are in compliance with company policies, employment contracts, and CRA rules and regulations.
  • Prepare remittances for taxes, workers compensation boards, union and benefit carriers
  • Set up new employees in the payroll system
  • Process and calculate termination payments
  • Prepare and upload journal entries to the General Ledger
  • Conduct quarterly account reconciliations
  • Prepare T4, RL1, and annual reconciliations for various Federal and Provincial agencies
  • Process Record of Employments (ROE), and T4 amendments
  • Maintain up to date knowledge of collective agreements
  • Maintain payroll records
  • Act as the first point of contact for all payroll inquiries and requests
  • Assist in payroll resolution of pay discrepancies
  • Preparing various payroll reports for both internal and external stakeholders and distributing them in a timely manner.
  • Perform other duties/tasks as assigned.
Key Competencies:
  • Strong knowledge of SAGE with a minimum of 3 years of experience
  • Strong knowledge of payroll legislation, accounting practices and principles, and compliance
  • Knowledge of journals and general ledger (GL)
  • Ability to multi-task, process a high volume of transactions and meet deadlines
  • Ability to deal with confidential and sensitive information in a diplomatic and tactful manner
  • Excellent organizational and time management skills
  • Strong analytic & problem-solving skills
  • Excellent customer service skills with the ability to deal effectively with external customers and all levels of staff
  • Excellent interpersonal communication and relationship-building skills
  • Demonstrated proficiency in Microsoft Excel including Microsoft Office 360 and Google Suites
  • Excellent communication skills both verbal and written
  • Demonstrated ability to work both independently and as a team player
  • Accuracy and attention to detail while working under tight deadlines
  • Ability to follow through and multitask
  • Ability to interpret and implement company policies and procedures
Education/Experience:
  • Accounting Diploma in payroll, business, or finance studies
  • PCP designation with the Canadian Payroll Association would be an asset
  • Ideally, the candidate should have at least 5 years of accounting experience plus 3 years of SAGE experience in a non-union and unionized environment
