[ Link removed ]Our sector is seeking a:Customer Service & Administration Assistant - ()005818Work Location: Oak Bluff, MBStatus: Permanent, Full Time,Overview: Reporting to the Terminal Manager, this position will be responsible for providing exceptional customer service and supporting the office administrative functions. This position is vital to ensure Oak Bluff operates effectively to deliver a high level of customer service to our valued customers.CHALLENGES WE OFFER

  • Act as the first point of contact within the terminal office, greeting customers, answer incoming calls & directing inquiries to appropriate staff.
  • Operate ERP software to process receipts and shipments.
  • Monitor all incoming shipments daily.
  • Play a key role in maintaining EH&S standards. This will include updating compliance records, setting up monthly meetings, capturing and posting monthly notes.
  • Update and maintain office policies and procedures.
  • Develop and maintain a filing system for both electronic and paper copies.
  • Assist with filing, mailing, customer follow-ups and office administration – including for other departments/managers as required.
  • Prepare, sort, retrieve incoming and outgoing mail.
  • Verify and coding of day-to-day invoices.
  • Reconcile inventory transactions and bill of ladings.
  • Arrange meetings and take detailed minutes, including conference calls, board meetings and events for other team members at the site.
  • Provide support to sales team including reports, booking meetings/travel as required.
  • Lead event planning for larger meetings, conferences, committees, and other events.
  • Manage and maintain office setting, including inventory of office supply products.
YOU FIT THE FOLLOWING PROFILE
  • 1 – 2 years of related experience preferred
  • Strong interpersonal and communication skills, both written and verbal
  • Ability to multi-task and prioritize workload
  • Proficient with computers including Microsoft Office Suite (Word & Excel) is considered an asset
  • Able to thrive in a team environment but also independently with minimal supervision
  • Able to work extended hours during busy spring season and as required throughout the year
