Job Description

CICE Assistant(Job Number: 485-22)Department: Liberal ArtsCampus: OrilliaClassification: Support StaffPosting Date: December 12, 2022Salary Range: $ 17.00 - $ 22.26 per hourHours per week: 24 hours per weekStatus: Part-time (Regular) Less than 12 monthsTHIS IS A LESS THAN 12 MONTH POSITION. Incumbents to this position will work August to May. Terms and conditions of employment are as outlined in the Part-time Support Staff Collective Agreement.Located in Orillia and reporting to the Manager, Programs and Operations, Liberal Arts, the incumbent provides front line customer service to students (prospective/current) and the general public, and assists with providing academic / general administrative support to the CICE academic team. Specific duties include, but are not limited to:

  • Providing reception duties and performing an initial triage of student/visitor to determine needs
  • Providing general information regarding basic program requirements, college procedures, and the application process
  • Making referrals when appropriate
  • Performing general office tasks (i.e. distributing mail, creating correspondence, ordering office supplies and materials, etc.)
  • Providing assistance and technical support in the use of general office equipment
  • Assisting with the support of committee meeting process as required (i.e. Advisory Meetings, team meetings, industry placement meetings, etc.) which includes logistics, minutes (where necessary) and actioning follow up items
  • Assisting with the orientation of new staff and part-time faculty by coordinating logistics (i.e. voice mail, etc.)
  • Assisting in the organization, planning, and coordination of marketing and special events which may include assisting with the preparation of promotional and marketing materials
  • Setting up appointments for students with the appropriate person and/or referring students to other areas of the college when necessary
  • Assisting with the process for the Key Performance Indicator (KPI) Survey, organizing faculty student feedback, and other academic surveys as required
  • Assisting as required in the preparation of the booklist each semester for both Barrie and Orillia
  • Generating and distributing academic reports as required (i.e. Academic Progression Reports, etc.)
QUALIFICATIONS:
  • Successfully completed a one-year postsecondary certificate in Office Administration, Business or another related field
  • Two years practical work experience in a standard office environment performing standard administrative duties
  • Postsecondary work experience would be considered an asset
  • Excellent computer skills including MS Word, MS Excel, MS Outlook and Internet
  • Ability to analyze and organize complex information
  • Strong organization/communication skills (oral/written) with the ability to problem solve quickly in a professional manner
  • Judgement and discretion must be applied in handling many confidential matters i.e. personnel issues, Human Rights, student records, etc.
  • Demonstrate strong interpersonal and customer service skills with proven public relations abilities
  • Ability to adapt and be flexible to change is absolutely essential
