We are an organization where individuals’ contributions are valued and there are many opportunities for personal growth and development.Position SummaryReporting to the Manager, Centralized Patient Scheduling & Registration (CPSR) the Registration Representative works in a centralized model providing Registration and related services for various program areas within the hospital (regardless if they are centralized or geographically located throughout the hospital). This position may be deployed out to various geographical areas as the need arises at the discretion of the CPSR Manager.PRIMARY RESPONSIBILITIES:

  • Provides excellent customer service to all patients and system stakeholders as a primary contact upon entry to the hospital.
  • Works as a registration staff and may work in a number of geographical areas throughout the facility
  • Registers patients according to Departmental and Hospital policies
  • Works in a collegial manner with management, nursing, physicians, volunteers, patient flow staff and other clerical staff from within the hospital as well as other health care facilities to ensure optimal communication.
  • Follows appropriate processes for registering patient’s dependent on reason for visit,
o Accurately validates patient demographics and health care coverage informationo Updates patient informationo Registers any non-scheduled visitso Adheres to data quality processes as directed
  • Direct patients to appropriate areas of the hospital and arranges assistance if necessary
  • Collects all the required information to accurately register a patient.
  • Ensures all data entered into the computerized system ensuring that any health care coverage (ie. Health card number) is validated.
  • Ensures excellent data quality by following all procedures and standards associated with quality data.
  • Participates in any data quality activity to support the Hospital and GBIN partnership goals.
  • Addresses data quality concerns in a timely manner.
  • Covers the communications area for all codes, procedures and breaks as required, utilizing extensive knowledge in paging systems, when, where and how to contact or direct staff, physicians, patients, general public, and outside facilities.
  • Provides coverage to other areas of CPSR as required
  • Performs other duties as may be assigned by direct Manager and/or Team Lead.
QualificationsEducation:
  • Ontario Secondary School Graduation Diploma or equivalent is required
  • Successful completion of a Medical Terminology course required
  • Successful completion of the Hospitals Electronic Medical Record (EMR) training required upon hire
  • Completion of Medical Office Administration program is an asset
  • Completion of a recognized post-secondary diploma/degree is an asset
Experience:
  • OSMH registration experience or demonstrated competency required
  • Switchboard experience is an asset
  • Preference given to candidates with previous healthcare experience
  • Preference given to candidates with experience in registering and scheduling in an EMR
Competencies:
  • Demonstrated computer literacy and working knowledge of Microsoft Office Programs (Word, Excel, Outlook) is required
  • Demonstrated familiarity with Criticall system is an asset
  • Demonstrated excellent communication skills in English (both verbal and written) and interpersonal skills to positively interact with a range of individuals in a variety of situations, which require tact, discretion and confidentiality
  • Demonstrated ability to be highly motivated and flexible with the ability to adapt quickly to new situations/challenges
  • Demonstrated ability to organize and prioritize workload and multitask under pressure
  • Demonstrated attention to detail and a strong commitment to quality and patient information verification
  • Demonstrated ability to work both independently and as a productive team member
  • Demonstrated the ability to provide excellent customer service to all patients and system stakeholders
  • Demonstrated ability to attend work on a regular basis
