We are an organization where individuals’ contributions are valued and there are many opportunities for personal growth and development.Position SummaryThe CPSR Team Lead is an essential position for integration and operational planning to support the services provided by the CPSR department. The Team Lead will provide oversight to all areas of the department inclusive of backfilling all CPSR representatives and the functions they perform in communications, bed allocation, emergency care, and patient registration. This Team Lead role will support the manager and will work in partnership in coordinating key initiatives, monitoring daily CPSR activity, act as a subject matter expert for the organization, assist on relevant projects, and complete required administrative duties. The Team Lead also monitors data quality and corrections for the relevant applications, and assists the organization with relevant training and support. The Team Lead will report to the Manager of CPSR.PRIMARY RESPONSIBILITIES:

  • Provides excellent customer service to all patients and staff, builds and maintains collaborative relationships with all internal and external system stakeholders.
  • Provides support, daily coordination, task realignment, and coverage to all CPSR staff members in their job functions.
  • Assists CPSR staff to comply with policies, procedures, routines, goals, and objectives of the hospital and the CPSR Department and reports concerns to the CPSR Manager. Participates in the selection process of CPSR team members in conjunction with the manager and the human resources department.
  • Responsible for creating, reviewing, and maintaining training materials, checklists, and standard operating procedures for all departmental functions.
  • Coordinates and performs department level orientation and training of all CPSR staff, and supports relevant training for other programs on relevant functions. Responsible for staff competency sign-off after initial training, new training, and/or any retraining that may occur or be required.
  • Responsible for designated electronic medical record (EMR) data quality reporting, error correction, CPSR related incident investigations, and audits.
  • Collaborates with IT, decision support, and finance to ensure captured information and measured statistics accurately reflect activity and meet MOHLTC requirements.
  • Responsible for application administration of CPSR owned applications or modules. Team Lead liaises with external software hosts/vendors and managing configurations, upgrade support, downtime support, troubleshooting, system validation, data quality, reporting, and all other associated tasks.
  • Coordination of data collection, quality, and management in collaboration with decision support.
  • Understanding and management if data collection and error correction (e.g., Wait Time Information Systems, MIS standards, OHIP financial class, etc.)
  • Actively participates in staff meetings and on committees as required.
  • Order office supplies, equipment, and coordinate decommissioning of office equipment.
  • Assists CPSR Manager in introducing new and/or changing initiatives (both corporate and departmental), participates in the development of departmental goals and objectives, and implements associated plans as directed.
  • Supports the mission and vision of the hospital in all relations with patients, staff, and the general public.
  • Performs other duties as may be assigned by the CPSR Manager.
QualificationsEducation:
  • Completion of a Medical Terminology course required.
  • Post-secondary education in a medical/business field, undergraduate degree or equivalent experience required.
  • Preference given to candidates with previous healthcare Registration, Scheduling, Communications and/or Bed Allocation experience.
  • Preference given to candidates with experience in registering and scheduling in an electronic medical record system.
  • Completion of computer courses such as Microsoft Office, (Word, Excel, Powerpoint) required.
Experience:
  • Three (3) years of experience in the CPSR department is a prerequisite.
  • One (1) year of experience and demonstrated competency in CPSR central scheduling is required.
  • One (1) year of experience and demonstrated competency in either admitting, switchboard, or emergency department is required.
  • Leadership experience required.
Competencies:
  • Demonstrated advanced computer literacy and working knowledge of Microsoft Office Programs (Word, Excel, Outlook) is required
  • Demonstrated familiarity with Critical system is an asset
  • Demonstrated ability to solve complex problems related to system configuration and application administration
  • Demonstrated excellent communication skills in English (both verbal and written) and interpersonal skills to positively interact with a range of individuals in a variety of situations, which require tact, discretion and confidentiality
  • Demonstrated ability to be highly motivated and flexible with the ability to adapt quickly to new situations/challenges
  • Demonstrated ability to organize and prioritize workload and multitask under pressure,
  • Demonstrated attention to detail and a strong commitment to quality and patient information verification
  • Demonstrated ability to work both independently and as a productive team member
  • Demonstrated the ability to provide excellent customer service to all patients and system stakeholders
  • Demonstrated ability to attend work on a regular basis
