Job Description

MATRIX is a national company providing camps, logistics and aviation management services to a diverse range of clients in the resource and service sectors. MATRIX’s safety and efficiency to our clients is of top priority.This position will lead the work needed to help support numerous crew travel bookings, based out of the Osoyoos office. This is a full-time salaried role.The successful candidate will have a proven track record of past travel booking, and administrative experience, excellent communication skills, and the ability to work in a fast-paced environment. This is a demanding position and will require the incumbent to be flexible with their personal schedule to be able to serve the needs of the business during seasonal peak operating times. The Travel Coordinator performs a wide range of duties including some or all the following:

  • Helps book all aspects of travel.
  • Coordinates with site dispatchers ensuring a convenient transition to/from charter and Commercial flights.
  • Assist with accounting through accurately coding all travel disbursements in our internal purchasing systems,
  • Maintains a detailed communication account for all travel disruptions,
  • Can maintain some personal flexibility to be able to work weekends and evenings if required.
  • Work as a part of the HR and Scheduling team to plan execution strategies for remote camp projects
  • Book flights, hotels, rental vehicles, shuttles for projects in various locations across Canada
  • Oversee the movement of staff from locations across Canada to various worksites
  • Communicate crew change logistics to staff members in the field
  • Work with the Human Resources department and the operations department to optimize efficiency and cost effectiveness during crew changes
  • Risk management regarding different modes of transportation and create mitigations as necessary
  • Share “on call” responsibilities with the operations team to ensure coverage after-hours and on weekends. Flexible availability is needed to react to travel changes after hours
RequirementsRequired Knowledgeamp; Experience· Minimum 2 years #39; past experience in travel administration/coordinator position is required.· Must have geographical knowledge to move personnel across Canadian cities, sense of urgency and be able to prioritize as situations quickly change.· Intermediate knowledge of Microsoft Office programs (Excel, Word, Outlook)· Previous experience working in mining or mineral exploration would be an asset· Knowledge of Canadian Geography would be an assetPreferred Licensingamp; Certifications:· Administrative or Travel Certification preferred or years of relevant experience· Intermediate Proficiency in Microsoft Excel, Word, Outlook, TeamsBenefitsSalary Range$55,00 to $65,000 per year, depending on skills and experience.Benefits package after successful probationary.To Apply:Please email your resume and 2 past work references to hr@matrixco.ca no later than April 1, 2025.Please note only those selected for interviews will be contacted.
