Job Description

Job Title: Accounts Receivable ClerkReporting To: Assistant ControllerCompany: Taggart Realty ManagementLocation: 225 Metcalfe Street, OttawaDate Prepared: October 28th, 2021Taggart Realty ManagementPart of the Taggart Group of Companies, Taggart Realty Management focuses on acquiring, developing and managing residential, office and commercial property. Taggart Realty Management has a consistently large number of new projects being developed at one time, each at varying stages of the construction process. The projects are focused in the Ottawa and Kingston marketplaces.Work DescriptionWe are currently seeking an Accounts Receivable Clerk to join our team in downtown Ottawa. Reporting to the Assistant Controller, the successful candidate will be responsible for ensuring rents are depositing in a timely manner for our various buildings in our portfolio and responding to our various day to day needs of rent collection and records management. The performance of the duties must ensure a quality approach to all employees, tenants, homeowners, customers, managers, and subcontractors. All responsibilities must be performed in a manner consistent with the Taggart Realty Management vision, mission, and must comply with all company policies and procedures. The Accounts Receivable clerk in coordination with the Assistant Controller are responsible for testing new procedures and improving current processes that in turn support the strategy and goals of Taggart Realty Management.Major Responsibilities:

  • Complete rent cheque deposits into the bank accounts for all properties, ensuring exceptions and all information is captured accurately.
  • Prepare and submit pre-authorized payment files for approval by management
  • Prepare detailed analysis of outstanding aged receivables for collection, presenting exceptions and discrepancies for review by management and operations teams
  • Send updated tenant account statements to operations team upon request.
  • Coordinate with the leasing team and input property and lease information into Yardi accounting system.
  • Flag discrepancies as payments are made if they differ from what is in the lease. Escalate concerns or items that appear out of ordinary.
  • Prepare final billing invoices and support for CAM Recovery credits/receivables on an annual basis.
  • Prepare estimated billing invoices and support for CAM Recovery charges at year end, and on an as-needed basis.
  • Maintain record of deferred rent agreements by working with Operations to update revisions as needed
  • Prepare management and asset management fee calculations to be billed to properties
  • Prepare and submit rent roll files for both commercial and residential properties each month. Ensure timely completion, and meeting all deadlines for reporting.
  • Administrative duties such as filing, scanning, etc.
  • Other duties as required
Statement of QualificationsKnowledge, Skills and Abilities:
  • Post-secondary education with a concentration in accounting is required.
  • Minimum 3-5 years of years of relevant work experience.
  • Proficient use of various software, including the Microsoft Office Suite is required.
  • Experience using Yardi considered a strong asset.
  • Strong organizational skills and attention to detail
  • Strong ability to manage priorities and meet deadlines.
  • Ability to maintain confidentiality and approach situations in a diplomatic and professional manner.
Physical/Sensory Effort/Work Environment
  • Providing service to several people or departments, working under many simultaneous deadlines.
  • Sitting or standing for long periods of time at workstation.
  • Manual dexterity required to use desktop computer and peripherals.
  • Repetitive work.
  • This role may require overtime.
