Job Description

Administrative AssistantOttawa,CANSUMMARY OF POSITION:Reporting to the Branch Manager, the Administrative Assistant performs administrative duties in order to support effective and efficient office operations. Job duties will include but are not limited to the following:RESPONSIBILITIES:Perform general administrative duties (answering the phone, taking messages, filing, composing letters/memorandums, scheduling meetings and appointments, making out charts and graphics, making copies, etc.)Acquire, process, balance and retain daily jobsite timecard data entry & balance against logPrepare weekly payroll jobs reports, obtained and balanced with the daily jobs reports and submit to payroll. Compile data related to the weekly payrollMaintain a daily/weekly labor spreadsheetAdminister and maintain active/inactive employees in STS per jobsite or project Assist with data entry into Customer’s job specific site programsProcess New Hire Information and provide to Payroll/HR Maintains EH&S Training logs for all employeesResponsible for cash application, daily deposits and batch processing as required Creates purchase requisitions for non-inventory items (i.e. office supplies) Verifies quality and receipt of non-inventory itemsEnters all A/P vouchers as well as ensure face and accurate coding of Accounts Payable Audit all Shipping/Receiving paperwork generated by OperationsManage and monitor open POs and to perform regular clean upPerform follow-up of files in progress with supervisor to ensure invoicing and costs are accurate; Assist with Accounts Receivable calls and collection issuesResponsible for gathering accurate and timely information in preparation of billing invoicesPrepare and issue documents related to accounts such as bills, invoices, account statements and other financial statementsRespond to customer inquiries, maintain good customer relations and solve problemsREQUIREMENTS:Bilingual (French and English) would be a definite assetMinimum High School or equivalent required.
