Job Description

The recruitment team at Myticas Consulting is looking for an experienced Compliance Administrator who would be interested in a full-time permanent opportunity offered within the Ottawa, ON region.Overall responsibilities would include:

  • Assist Senior Compliance Manager to coordinate all processes and procedures and document and implement all policies and recommended ways to minimize risk, for a key account customer
  • Support, document, develop, update and implement international product compliance regulations, policies and procedures based on policies from a key account customer
  • Follow up and Manage all incoming Purchase Orders from a Key Account Customer
  • Prepare, update and manage Purchase Order Road Map
  • Administer and follow up on all the test requirements, certification, compliance related documents with the Vendor and update Road Map and other related software for the same
  • Update and advise Vendor and Factories for the test requirements for the product
  • Liaison with Vendor and Factories for Products that requires special testing requirement base on the Customer requirements
  • Prepare Vendor and Factories with regards to test and other certification required and to connect them with Customer Third Party Laboratory
  • Work closely with Third Party Laboratory to secure product inspection at the Factory
  • Administer and monitor pipeline for product Testing with Vendor/Factory and also with Third Party Laboratory
  • Perform Product Inspection booking with Vendor/Factory
  • Coordinate Test for a Product / Purchase Order with Vendor/Factory and Third Party laboratory
  • Assist and prepare outstanding pipeline for all work in process Inspection and Test for Senior Compliance Manager to review and analyze
  • Close all completed Purchase Order in Compliance Road Map and related software after ensuring all documents are collected and distributed to related departments
  • Stay current in Canadian, US and International product compliance regulations and company export/import procedures.
  • Analyze all changes recommend and identify appropriate area in administration and coordinate with functional area to implement all changes and document them
  • Provide support to all related departments and ensure compliance to all pipeline safety regulations and collect all information required to prepare periodic reports.
  • Coordinate with management to design all corrective action plans and implement same and assist all internal assurance and pre audits according to the requirement and perform incident investigations for the same.
  • Provide support to in-house regulatory compliance related issues and assist on the communication with Vendors and factories
  • Provide support to compliance management plans, activities and records for the same
  • Supervise, collect and maintain all compliance documents such as CARB, SDS, SDS,LHAMA,TRA, Lacey Act details etc
  • Prepare Test Request for product line and communicate the same with Third Party Lab and Vendor
  • Review test charge invoices and compare against internal compliance account monitoring system
  • Assist Vendor to coordinate with Third Party Laboratory on product testing (Pretest, DUPRO, Final)
  • Review Bill Of Material with Vendor on all products
  • Collect, monitor and document all compliance related information from the Vendors/Factories
  • Assist Compliance Team with the Testing Program in place. It includes daily communication with third party laboratories, factories and vendors around the world, primarily in Asia. Arrange for product testing with external laboratories, monitor reports, keep track of test reports, and prepare material declarations and certifications.
  • Ensure consistency in the compliance processes across all departments (where applicable). You will be communicating and coordinating with Sales, Customer Service, Global Sourcing, Graphics, Marketing, and Logistics Departments.
  • Ensure that suppliers are providing necessary documentation, test reports etc. prior to sending shipments.
  • Identification and escalation of potential non-compliance issues to Management.
  • Conduct research upon receiving instructions from Senior Management and provide clear conclusions.
  • Efficient completion of tasks within the agreed upon timelines.
