We make our work meaningful for our community by striving to ensure that our team reflects the communities we serve.We work within an anti-racism, anti-oppression framework that acknowledges systemic racism exists and seeks to ensure that systems are fair and equitable for everyone.JOB SUMMARYThe Coordinator oversees the ongoing planning, development and support for the volunteer program and student placements across the Centre. The Coordinator also plays a role with donations and fundraising, including organizing fundraising initiatives and researching potential donors that will enhance the strategic goals of the organization. The Coordinator liaises with local businesses, business groups/associations, and key community stakeholders. The Coordinator works in partnership with all program areas. The Coordinator provides support to community development/health promotion volunteer activities across the Centre. We work within an anti-racism, anti-oppression framework that acknowledges systemic racism exists and seeks to ensure that systems are fair and equitable for everyone.POSITION REQUIREMENTSEducation

  • Certificate in volunteer management
  • Bachelor’s degree from a recognized university in a relevant discipline or equivalent combination of some post-secondary education and significant related experience
Professional Experience
  • Proven experience in health, social services and education
  • Three to five years experience in volunteer coordination/management, including;
  • Experience supervising staff, students and volunteers;
  • Experience coordinating student placements;
  • Fundraising and donations experience;
  • Event planning experience

  • Experience in program development, implementation, monitoring, and evaluation
  • Experience with community engagement and mobilization
  • Demonstrated abilities in outreach and community engagement
  • Strong interpersonal, teamwork and organizational skills
  • Excellent communication skills (written and verbal)
  • Experience working with individuals from differing social and cultural backgrounds
  • Experience working with marginalized populations
  • Knowledge of issues and challenges facing low income, vulnerable and diverse communities
  • Clear understanding of issues of poverty, and cultural sensitivity
  • Experience in developing and maintaining partnerships
  • Strong organizational skills
  • Sound judgement
  • A strong knowledge base of community development principles
  • Demonstrated ability to work independently
  • Advanced computer and internet skills
  • Experience with Better Impact Database (an asset)
  • Proficiency with computer software essential

  • English, written and spoken, essential
  • French, Cantonese, Mandarin and other language(s) an asset

POSITION RESPONSIBILITIES Volunteer Management
  • Responsible for the SWCHC volunteer program including planning, program development and program evaluation
  • Develops and maintains policies and systems for the volunteer program in keeping with the Canadian Code for Volunteer Involvement, accreditation standards, human resource best practices and the National Occupational Standards for Volunteer Managers
  • In consultation with staff, ensures that appropriate position descriptions are in place to guide all volunteer placements
  • Ensures that there is a structure and process for the recruitment, screening, interviewing, assignment and evaluation of volunteers
  • Maintains volunteer files in Better Impact Database
  • Develops and implements mechanisms for formal volunteer recognition, as well as supporting staff to provide recognition on an on-going basis
  • Facilitates volunteer orientation and mandatory training (e.g. Workplace Violence Prevention, Accessibility, Health and Safety Awareness, etc.)
  • Provides opportunities for professional development and team building among volunteers as appropriate
  • Develops and implements communication strategies to promote the program internally and with external partners
  • In conjunction with staff, ensures effective supervision and placement review
  • Educates staff on the potential and limits of volunteerism and advocate for volunteerism in the community
  • Assists in identifying and obtaining resources required for effective performance of volunteer tasks
  • Supervises and evaluates performance of volunteers
  • Manages and maintains pre-employment program placements to ensure pre-employment placement conditions are met, as needed
Student Placement Coordination:
  • In consultation with Program Managers, provides leadership and support to the recruitment, screening and orientation of students
  • Acts as a liaison between the students and educational institutions as necessary
  • Develops and maintains policies and systems for the student program
  • Supports staff to ensure student placements are completed, evaluations and exit interviews undertaken
  • Ensures affiliation agreements are in place and up to date with all educational institutions
  • Helps to mediate in matters of conflict resolution between students, educational institutions and staff
  • Facilitates student orientation and mandatory training (e.g. Workplace Violence Prevention, Accessibility, Health and Safety Awareness, etc.)
  • In consultation with staff, ensures that appropriate position descriptions are in place to guide all student placements
  • Develops and maintains policies and systems for the student program in keeping the Code of Ethics of the specific placement and its relevant educational institution or governing body
  • Supports centre research initiatives with students
Fundraising and Donations
  • Develops, implements and revises an annual fundraising plan
  • Organizes the planning and execution of fundraising events and initiatives.
  • Researches and identifies potential donors that will serve to enhance strategic goals
  • Liaises with business groups, business associations and key community stakeholders.
  • Researches grants, foundations, and other funding sources and facilitate the development and submission of proposals as needed.
  • Ensures community and funder relationships are developed, enhanced and nurtured
Administration and Human Resources
  • Provides support and training to staff on mentoring, motivating, communicating and coaching volunteers and students
  • Ensures that policies and practices of the program are in keeping with established Centre policies and procedures
  • Establishes and maintains suitable records, reports, and statistics for volunteers and student placements
  • Monitors program budget
  • Develops funding proposals for program as needed
  • Oversees program database and ensuring data integrity, generating reports and statistics as needed
  • Keeps the Manager of Community Engagement informed of challenges, program changes, etc.
  • Coordinates centre-wide programs such as the Income Tax Clinic, ensuring that volunteers and/or students are utilized to support clients to access these programs
  • Provides support across the organization with health promotion/community activities through volunteer activities that help build organizational and community capacity
