The Carleton University Students Association is an incorporated, not-for-profit, student-run organization dedicated to enriching the undergraduate student experience through events, advocacy efforts, and services.POSITION DESCRIPTIONPosition Title: Human Resources and Finance AssistantReports to: Director of Finance and AdministrationDepartment: FinanceDate Revised: July 2022Union: CUPE 3011Salary: $ 45,000.00Hours: 35 hrs/wk_______________________________________________________________Reporting to the CUSA Director of Finance and Administration, the HR and FinanceAssistant supports the many facets of CUSA’s operations that involve people or finances. This exciting junior position is an opportunity for someone looking to expand their skill set and have a broader impact on an organization.Under the direction of CUSA’s Director of Finance and Administration, the HR and FinanceAssistant for CUSA will support the Finance Team, senior management and Business managers with their day-to-day HR administrative tasks and responsibilities. They will further support CUSA’s Student Executive, Student Board, Student Council and other CUSA activities. The HR and Finance Assistant support the broader team in ensuring the execution of the student union’s long-term people strategy and facilitates the ongoing operation of CUSA’s core services from a people and development perspective.The HR and Finance Assistant ensures that structured development and feedback is engrained throughout the organization in a financially sustainable way.The successful HR and Finance Assistant candidate will join an exciting and innovative environment with students at its centre and be responsible for supporting systems to ensure CUSA remains a model for ethical operations and student and staff development.OBJECTIVE OF THE POSITIONTo support the HR and Finance functions while promoting fair and equitable structural and cultural practices which develop staff and allow CUSA to be a supportive and regenerative workplace. DUTIES & RESPONSIBILITIES
  • Administer the hiring process to fill vacant or new roles for student, unionized, and management positions.
  • Manage process for staff and executive onboarding, training, and professional development initiatives in furtherance of professional and institutional goals.
  • Maintain mechanisms for tracking staff performance.
  • Act as a point person for benefits and compensation for staff by liaising with providers.
  • Liaise with and manage employee benefits provider (currently Desjardins)
  • Work with Finance Team to administer and manage payroll system (currently ADP)
  • Facilitate monthly income statements for CUSA, Inc. and generate reports as required.
  • Work with the Finance team to maintain and reconcile intercompany accounts, including but not limited to Carleton University.
  • Administer payroll records and pension plan for CUSA, Inc.’s permanent staff.
  • General HR support tasks

It is important to recognize that this is a new position within CUSA and will evolve quickly. It is an exciting opportunity for a junior level individual to grow their skill set and help develop a new standard for an evolving organization.QUALIFICATIONS / EXPERIENCE
  • A Post-Secondary Diploma, Degree, or certificate in Human Resources
  • A minimum of 5 years of related work experience is considered an asset
  • Must have basic payroll tax knowledge (CPP, EI, income tax, pension calculation,T4s etc.)
  • Must have basic bookkeeping/accounting knowledge
  • Familiarity with ADP payroll system is considered an asset
  • Excellent organizational skills
  • Excellent communication and interpersonal skills
  • Flexible with the ability to work under pressure and meet deadlines
  • Ability to work independently
  • First Aid and CPR Training is an asset
  • Proficient in the use of computers, with practical experience in the use of current software applications i.e. Excel, Google Suite
