Job Description

Office Assistant - International & Indigenous ProgramContinuing Education DepartmentPROGRAM INFORMATION:The Ottawa-Carleton District School Board is seeking to hire casual Office Assistants to work at the 2022-2023 International & Indigenous Languages Program. Anyone offered and accepting work within the program is afforded with protection through district policies and procedures pertaining to all aspects of their work, including Health & Safety.Candidates will need to be available to work in-person at a school site.IIL Program Schedule:September 10, 2022 to June 10, 2023Saturdays (for a total 33 days)AM program from 8:30-12:30 (4 hours)IILP Site locations: Adult HS, Bayshore PS, Broadview PS, Cambridge St PS, Carleton Heights PS, Centennial PS (pm program), Charles h Hulse, PS, Farley Mowat PS, Hopewell PS, Pinecrest PS, Queen Mary PS, Roch Carrier PS, Sawmill Creek PS.RESPONSIBILITIES:The duties of the Office Assistant commence on the date of hire and include responsibilities and meetings before, during, and after the posted dates for the program, including:Assisting parents with the registration process (Verification process);Creating and/or maintaining class spreadsheets;Responding to phone calls from parents and community;Assisting students coming to office;Preparing forms (timesheets/salary deductions);Entering attendance in the Student Management System (ASPEN, training to be provided);Helping with the Certificates of Participation;Being knowledgeable of digital tools (e.g., Google Meet, Google Classroom, Google Site, etc.) to be able to work and operate virtually;Support instructors with the report cards processAttend meetings and/or professional development learning opportunities;Report to the IILP School Site Principal;PREFERRED QUALIFICATIONS/EXPERIENCE:Excellent customer service and communication skills;Demonstrated proficiency in computer and word processing skills, particularly in the Windows system environment, Google enterprise and spreadsheet apps, ASPENFamiliarity with Office equipment including photocopier, PA systemEffective interpersonal skills, ability to work independently and collaborativelyExcellent organizational skillsKnowledge of a second or third language would be an assetKnowledge of Continuing Education programsExperience working with children would be an asset;First Aid Certification would be an asset;Adding to the diversity and representation of the communities served by Cont Ed programs.SALARY: $18 per hour + 4% vacation payPersons with disabilities who require accommodation in the application and/or interview process should email nectaria.karagiozis@ocdsb.ca.As a condition of employment, new employees to OCDSB are required, by legislation, to submit a Police Records Check (Vulnerable Sector) valid within 6 months.Personal information is collected pursuant to the Education Act and will be used to determine the eligibility for employment with the OCDSB.
