Providing professional, client focused services to Ottawa OPH stakeholders and external stakeholders. Creating and maintaining for OPH Services call back/overtime tracking sheets for regular and straight time . Providing administrative support in relation to the monitoring, tracking and inputting of financial/operational information/data; liaising with Payroll to ensure the timely and accurate submission of lieu day leave (LDL) paid outs Forms; inputting data on various related documents.EDUCATION AND EXPERIENCECompletion of Grade 12Minimum of 5 years of clerical/payroll/administrative related experienceCERTIFICATIONS AND LICENCESNot applicableKNOWLEDGE

  • Office and payroll administration procedures
  • Advanced computer skills to include expert level with EXCEL
  • Knowledge of relational data base management systems
  • Knowledge of shift scheduling processes and procedures in a complex organization
  • Working knowledge of SAP HR and payroll
  • Time sheet/leave forms processes
  • Collective agreement provisions relating to hour of work, overtime, shift scheduling, pay & benefits
  • Knowledge of applicable health and safety legislation, including the rights and duties of workers.

  • Maintain accurate employee call-back lists for a complex organization, executing call-back procedures following established protocol
  • Ability to apply Standard Operating Procedures, General Orders, policies, procedures and collective agreements in day-to-day responsibilities
  • Ability to follow established processes and guidelines related to shift scheduling and payroll entry for overtime
  • Work as a member of a team, share workload and information in dynamic environment
  • Understand the concepts of client service excellence
  • Time and stress management; ability to prioritize competing demands and meet shifting deadlines
  • Liaise with staff in units across the branch and units outside the branch to ensure effective and efficient use of time

WHAT YOU NEED TO KNOW
  • Language Requirement: English oral, reading, writing
  • You may initially be paid 95% of your starting rate of pay, in accordance with the collective agreement.
