All of Smart Living properties apartments and houses are professionally designed, furnished, and outfitted with smart home technology to make the perfect home base.Job SummaryReporting to the Construction Director, the Project Administrator provides day-to day administrative support to the Construction Department.Job Responsibilities:

  • Assists with the project setup and enters relevant information into database.
  • Maintains project documentation including but not limited to project plans, bid packages, contracts, technical and financial close-outs.
  • Monitors project progress and timelines and prepares status reports accordingly.
  • Arranges and manages project meetings, including taking meeting minutes.
  • Compiles and submits RFIs.
  • Works with relevant stakeholders to collect vendor qualification documents and sets them up on internal systems.
  • Executes purchase orders, collects invoices, and reconciles for accuracy.
  • Follows-up with vendors where required, ensuring receipt of documentation and invoices.
  • Prepares project reports including project progress, KPI’s, costs, etc.
  • Executes project close- out requirements, gathers and files project documentation.
  • Assists in ensuring departmental compliance with timeliness, reporting, budgets, etc.
  • Provides accurate Word and Excel support by composing and/or editing a variety of documents and spreadsheets.
  • Assists in the collection of new hire paperwork.
  • Other duties as assigned.
Qualifications:
  • Minimum 2-3 years administrative experience in construction or a related industry.
  • Postsecondary diploma or certificate in an Office Administration program or related discipline.
  • Professional and service-oriented approach internally and externally.
  • Strong multitasking, organizational and prioritization skills.
  • Effective written, verbal and interpersonal communication.
  • Strong attention to detail and problem-solving abilities.
  • Ability to take direction from multiple people and adapt approach to various work styles.
  • Intermediate skills using Microsoft Office Suit.
Experience:
  • construction industry: 1+ years (preferred)
  • project administration: 2 years (preferred)
