We are dedicated to your success.Job DescriptionOur clients are looking for a Project Coordinator to help with the projects planning and execution phases of the Linux/ Unix OS Consolidation and Upgrade project: With a proliferation of versions of Linux/Unix servers, it has become increasingly complex and expensive to host and support PSPC applications. Older Operating System (OS) versions no longer receive security updates from the vendors and are hosted on old server equipment. As such the reliability and security of PSPC’s business applications are at risk.Shared Services Canada (SSC) has requested PSPC’s assistance in migrating end-of-life or unsupportable versions of Linux UNIX to SSC’s official Linux Unix version as per their Operating System Roadmap which will include a refreshed server platform. SSC has identified almost 280 servers that require an Operating System version migration by the end of the project which is December 2022. As such each server may house numerous applications, databases or services thus coordination with PSPC business application partners and SSC will be required. Each application, database or service will be evaluated for candidacy to move to cloud-based solutions where applicable, especially if redevelopment is required. This project will improve application health and reliability and provide PSPC an opportunity to modernize applications. It will help reduce business risk by moving applications with obsolete IT infrastructure to platforms with modern, reliable and secure infrastructure.Basic Responsibilities: The Project Coordinator – Level 3 will be responsible for, but not limited to, the following:

  • Manage and track project decisions, action items, risk, issues and change requests;
  • Prepare and coordinate monthly project reports and governance committees material;
  • Maintain bring forward (BF) and other project control systems;
  • Enter project financial information into financial systems, produce project financial reports, and resolve any discrepancies;
  • Assist in project coordination and synchronization of tasks;
  • Maintain and update relevant project information in manual and electronic files; project information might include such things as project activity schedule, status reports, correspondence;
  • Assist in the development, maintenance and tracking of Work Breakdown Structure (WBS) and project plans, including milestones, resource allocation, progress, trending, etc.;
  • Perform analysis and reporting on project progress, risks and issues;
  • Maintain project schedules, providing updates, and supporting managers in forecasting realistic completion dates;
  • Provide current schedules, briefings and reports on an as and when needed basis;
  • Review project documentation such as plans, work packages and schedules to ensure accuracy of planning and performance; and
  • Perform work in accordance with PWGSC’s National Project Management System (NPMS) Policy.
Additional Responsibilities:*Project Support:
  • Maintain and monitor project plans, project schedules, work hours, budgets and expenditures.
  • Track and monitor risks and Issues, manage updates to Risk and Issues logs.
  • Work with Application contacts to schedule server upgrade coordination with Shared Services Canada where needed.
  • Governance and Engagement:
  • Organize meetings/workshops with internal and external stakeholders; document and follow up on action items and Records of Decisions (RoDs).
  • Create/update the Governance calendar and keep Project team and relevant stakeholders apprised on governance/engagement activities.
  • Coordinate updates to weekly and monthly status reports.
  • Project Gating:
  • Work with the Enterprise Project Management Office (EPMO) to compile/organize/disseminate material for project gating and reporting.
  • Project Information Management:
  • Ensure that all project documentation is maintained and stored appropriately for the project.
  • Microsoft Excel proficiency is an asset, server, and application inventory is tracked via Excel spreadsheets.
