The Program Assistant supports the planning, implementation and evaluation of the Self-Management program. This position involves community engagement work, as well as related administrative duties. Part of the time is spent in the office, while the other part is spent engaging with the community through various channels.Candidates must be comfortable speaking in front of groups, engaging with a variety of people, and proficient with office administrative tasks. The Program Assistant works with the Self-Management Coordinators to help build collaborative partnerships with numerous individuals and groups such as healthcare providers, people living with and at risk of chronic conditions, caregivers, community organizations and primary care providers. Strong marketing, communication, organizational and planning skills are required.RESPONSIBILITIES:Reporting directly to the manager of the Chronic Disease Self-Management programScheduling of workshops, speakers, rooms, volunteers, food for events, and technical support for seminarsProduces marketing materials including: flyers, social media content, and calendars of eventsDistribution of marketing materials to various health care and community sites within the regionEngagement of community partners and program promotionCommunicating with peer leader volunteers and facilitatorsPublic speaking and presentationsCompiles summary of feedback from events and inputs evaluation dataTracking program-related expenses and invoicesAddresses program inquiries via email, phone, and in personOrdering supplies and inventoryQUALIFICATIONS:Diploma or degree in a health-related or communications program, or equivalent combination of education and experienceExperience in health promotion and working with a multidisciplinary teamAbility to coordinate and schedule eventsExcellent communication, organizational and interpersonal skillsProficient in use of windows based computer systems and software including but not limited to Microsoft Word, PowerPoint and Excel; Canva; Zoom and social media networksProficient in the use and troubleshooting of audio/visual equipmentAbility to set priorities and excel within a fast-paced environmentAbility to work independently and as part of a teamExcellent customer service skillsExcellent verbal and written communication skills in EnglishRegular attendance is a requirement for this positionValid Driver’s License and access to vehicle for work-related responsibilities requiredOccasional evening and early morning hours and travel to external locationsOsler values inclusivity and diversity in the workplace.
