Under the direction of the Systems Manager, in consultation with the Program Manager, the Program Administrative Clerk assists at each Peel service location with clerical and administrative duties. They will ensure that filing and maintenance of confidential program files is completed with a high level of discretion. The Program Administrative Clerk will manage their time effectively to ensure deadlines for Ministry of Children, Community and Social Services are met. They will communicate to people within and outside of Christian Horizons to provide information about the organization. The Program Administrative Clerk will respect and uphold the Values, Vision and Mission of Christian Horizons, demonstrating the highest standards of courtesy and respect in their dealings with other employees, persons supported and both internal and external stakeholders.Responsibilities: Assist the System Manager with implementation of quality assurance measures and assisting Program Managers to maintain the Standardized Filing System at each service location. Assist in the booking and preparing of meetings and take minutes as directed. Maintain data entry of occurrence reports. Update and maintain personal information of people supported. Assist with protocol updates, program assessment follow up, and ministry compliance follow-up. Assist with updating and maintaining Emergency Response Plan, Community Services Policy Manual and Christian Horizons Reference Manual. Assist with personal plan documentation. May include correspondence, mailings and other clerical duties as requested.
