The posting closes at 12:01am on the morning of the closing date***Reporting to the Manager, Administrative Services, the incumbent is in charge of the mailroom including machine maintenance, campus office supplies, delivering internal and external mail to the College departments at the Pembroke campus, while servicing the entire College community. The incumbent supports and performs shipping and receiving of supplies, photocopying, mail sorting, tracking of deliveries and outgoing shipment.The incumbent is also responsible for student and employee identification cards.Duties and Responsibilities:Primary handling and leads the distribution of mail including:

  • Unloading and sorting of incoming campus mail (Canada Post, UPS, Purolator, Woodroffe campus, etc) by department;
  • Delivery of external and internal mail and pick up of outgoing and internal mail;
  • Notifying College employees who are working remotely that they have mail through email communication. Scanning of mailed items such as invoices and receipts to appropriate employee for processing;
  • Assembling and processing outgoing mail by Budget code using various modes and lading bills (insured, UPS, Express Post etc.);
  • Distribution of college, Students’ Association, OPSEU, and ASA communiqués;
  • Is in charge of maintaining adequate level of office supplies and its distribution to various departments; and
  • Preparing office supplies orders for Manager’s approval and Canada Post supplies for the Mailroom Is in charge of maintaining adequate postage dollars are available in the postage machine based on workload and seasonal requirements.
Recording of incoming and outgoing mail:
  • Recording bill of lading and reference numbers and their destination for incoming special mail (Registered, Insured, UPS, etc);
  • Maintain daily totals of incoming and interdepartmental mail; and
  • Creates Canada Post mailing machine reports for internal clients.
Operates a variety of mail processing equipment:
  • Operates computerized mail machine to determine cost of mail by weight, destination, and mode and charge appropriate budget: then seals and affixes postage and return address;
  • Operates computerized shipping system for all couriers and parcels, processes and assembles a variety of information (Admissions, Registrar, Faculty, etc.) using photocopiers, automated folding machine, and multi station inserter under tight timeframes; and
  • Manages the maintenance schedule and repair coordination for all mailroom equipment.
Expedite delivery of confidential/important information by:
  • Folding and inserting of transcripts, receipts, diplomas, booklets, posters, etc.;
  • Verifying of budget codes on mail from unknown sources; and
  • Recording statistics on mail volumes and special handling requests.
Management of student and employee identification cards by:
  • Verifying student / employee status and application form;
  • Operating the Campus Camera and ID machine/equipment/software within College guidelines; and
  • Providing students and employees with appropriate identification cards.
Act as cashier for Administrative Services as needed (Food Services, AC proud Shop, etc.) and other related duties as assigned.Required Qualifications:Education: Two (2) year Diploma - Office Administration ExecutiveExperience: Minimum of one (1) year:
  • Experience working independently in an office environment running day to day operations; and
  • Experience with front line customer service. Dealing with clients of all backgrounds. (Dean, Managers, Support and Faculty, Students, Couriers, Contractors, etc.).
Anticipated Weekly Schedule:
  • Monday to Thursday 9:00am - 2:00pm
  • Friday 9:00am - 1:00pm
  • This job requires regular onsite work.
