Penticton Indian Band 841 Westhills DrivePenticton, British Columbia V2A 0E8Telephone: 250-493-0048 Fax: 250-493-2882Position Title: Administrative AssistantPay Range: $27 – 33 per hour (Based on education & experience)Department: AdministrationType: Non-managementStatus: Full Time, PermanentHours of Work: 35 hours per weekResponsible to: RIM AdministratorLocation: PIB Administration Offices, 841 Westhills Drive, Penticton, BC V2A 0E8Deadline: July 28, 2022Job Summary: The role will assist the Administration with the overall day to day administrative requirements for the effective and efficient functioning of the government within the Band Administration main office and all other buildings housing government staff when required. This position is answerable to the Records and Information Management Administrator and requires “complete confidentiality at all times”. This position will work as part of a team with the Chief and Council Administrative Assistant.Job Responsibilities and Work Performed

  • Alongside the Chief and Council Administrative Assistant, provide support to, attend and record meeting minutes for Chief and Council and Council Committee Meetings.
  • Alongside the Chief and Council Administrative Assistant, provide support to, attend and take notes for Band or community meetings.
  • Answer emails or other inquiries as required and ensure messages are directed to appropriate individuals;
  • Assisting the membership clerk, including compiling the PIB Community Database;
  • Assisting the Communications Coordinator, including production of materials for PIB members
  • Use of Xyntax software;
  • Provide support to the RIM Administrator and departments for the ongoing operations and maintenance of computerized information filing systems;
  • Provide Reception services – answer telephone calls, greet visitors, ascertain nature of business and direct visitors to employer or appropriate person;
  • Assist the CAO with the dissemination of Administration and Program area department information between Administration and Chief and Council;
  • May compile data, statistics and other information to support research activities
Minimum Academic/Educational Requirements
  • Completion of a one or two-year college program
  • 1-3 years’ experience in Administrative work
Other Certification, Licenses, Designations and/or Training
  • Experience working with Microsoft Office programs
  • Experience in composing letters, forms and spreadsheets
  • Valid driver’s license with clean abstract would be an asset
  • Related courses and training (to include intermediate computer skills, customer service, professional writing etc.)
  • Minute taking certificate would be an asset
Minimum Level of Experience
  • Previous experience working with First Nations communities
  • Experience in working in an office environment as a team or independently
  • One to two years of previous experience working in customer service
Job Skills Required
  • Demonstrates strong administrative skills, as well as the ability to set priorities, meet deadlines and multi task in a fast paced environment
  • Articulate, friendly, personable, professional, and comfortable dealing with other staff, Band Members and clients.
  • Proven ability in establishing and maintaining working relationships with other staff, program participants and the general public
  • Strong all around computer skills with the ability to compose letters, forms and spreadsheets
  • Exceptional organizational, time management and interpersonal skills
  • Demonstrate a high level of customer service
  • Excellent written and verbal communication, ability to work under pressure and conflict resolution skills.
  • Ability to follow written or oral instructions and take initiative as needed
  • Solid understanding of programs and services
  • Able to be discreet and have a high level of confidentiality
  • Ability to plan and organize a variety of events and functions
Working Conditions:
  • Regular hours of work will be 9am to 5pm, Monday to Friday, though some overtime may be required to support Chief and Council and Band Meetings, or in emergencies.
  • Ability to attend and conduct presentations.
  • Manual dexterity required to use desktop computer and peripherals
  • Some travel may be required;
  • The Administrative Assistant may be required to work additional hours performing well in a multitasking environment;
  • The Band Administration Office is generally a very busy facility and times can become very demanding;
  • The Administrative Assistant needs excellent organizational, time, and stress management skills.
