Job Description

ObjectiveWe currently have a fantastic opportunity for an Executive Personal Assistant (EPA), directly supporting our President and Vice President. The EPA is responsible for maximizing their productivity. The EPA is interested in long-term growth and professional development and is fulfilled by the career role of EPA.Organization PositionThe EPA reports directly to the President and Vice President, they will have direct interaction with their contacts and maintain good relationships.Soft Skill Responsibilities:

  • Manage time of executive with competing priorities
  • Create and maintain strong relationships with team members, executives, and clients
  • Assess and manage the flow of information, communications, and access to the executive in line with identified priorities
  • Using judgement to help protect the executive from unnecessary involvement in day-to-day office management issues or interruptions
  • Supports initiatives of the executive team
  • Creates strong external relationships as applicable to support the objectives of the President and Vice President
Main Duties and Tasks:
  • Calendar management
  • President & Vice President travel/itinerary management
  • Email inbox management
  • Meeting coordination and booking
  • All forms of organizational support including meeting preparations
  • Compile and submit expenses/receipts
  • Communication with clients and industry contacts on behalf of the President and Vice President
  • Producing and/or reviewing high level and confidential documents for grammar, formatting, typos, etc.
  • Cleanliness of space (Physical and Digital)
  • Personal assistance
  • Personal appointments
  • Additional administrative assistance as required
Requirements:
  • Previous experience as an EA/EPA (experience in the construction industry an asset)
  • Proficiency with Microsoft Office 365 and various apps
  • Superior organizational skills and exceptional ability to manage various tasks with ease
  • Solid written and verbal communication skills
  • A high-level of professionalism, diplomacy, and tact
  • An amazing attention to detail
  • Outgoing, personable attitude
  • Team mentality, behave in a professional and respectful manner
  • Ability to understand what is situationally appropriate
  • Confidence in being a decision maker and extension of the President and Vice President
